Read these before you start

  • **Contact-list balloon**: Aggressive per-tier scaling means growing from 1,000 to 25,000 contacts on Plus takes you from $49 to $239/mo. Real cost. Budget accordingly.
  • **Starter cap**: Starter maxes at 10,000-25,000 contacts. Above that, you must upgrade to Plus. Do not sit on Starter as a "cheaper long-term" plan; the cap comes fast.
  • **Automation complexity trap**: Users build 20 overlapping automations, then can't figure out why contacts are in the wrong journey. Tag strategy and journey mapping are prerequisites, not afterthoughts.
  • **Ecommerce ceiling**: When email drives 20%+ of ecommerce revenue, Klaviyo's data model becomes worth the switch.
  • **CRM tension**: ActiveCampaign's CRM is a real product but weaker than Close or HubSpot for active sales teams. If sales grows into a dedicated function, they may want a dedicated CRM.

    Complete the initial onboarding

    Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If ActiveCampaign pushes you into a setup wizard, take it - it usually accelerates the first productive session.

    Connect your existing tools

    Wire ActiveCampaign into the rest of your stack. The integrations that most people set up first: - **Shopify** - order sync, abandoned cart, product recommendations. Solid for ecommerce - **WooCommerce** - same on WordPress - **Salesforce** - two-way sync (Pro tier and up) - **HubSpot** - contact import from HubSpot (if migrating away) - **WordPress plugin** - subscribe forms, content tracking .... Do these before importing data - clean integration first, data second.

    Import your existing data (only what you'll actually use)

    Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how ActiveCampaign deployments die in month 3.

    Set up your first real workflow

    Pick the single most-frequent task you'll do in ActiveCampaign - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

    Add your team (if applicable) and set access

    Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.
