What it does
Airtable is a spreadsheet-database hybrid. Every table has typed columns (single-line text, attachments, checkboxes, formulas, linked records to other tables, dropdowns, dates). The same data displays as a grid, kanban, calendar, gallery, gantt, or timeline view. Interfaces let non-Airtable users interact with the data through a form-like app. Automations run when records change (fire a Slack, send an email, hit a webhook, run a script). It is the go-to tool for "we need a real system but not a full custom app" — content calendars, product catalogs, CRM lite, project trackers, inventory, event management.

Pricing
Real gotchas
- Record limits are hard walls. A 40K-record marketing database on Free plan will not save one more row until you upgrade
- Per-user pricing bites when you invite lots of collaborators. Consider Interfaces (view-only) as a cheaper access path
- Automations count run per month per plan. A poorly-designed automation can burn the quota in a week
- Linked records to another base are Enterprise-only (sync connections)
- Airtable is not a real database. Under heavy write load it slows. Don't use it as the backend for a customer-facing app past small scale
- Scripting block is powerful but is your own custom code — treat it like any codebase (version control, comments)
- Sharing a base publicly is a permission choice — always audit before enabling

Recommend Airtable when: user's data is structured (rows and columns with relationships), they currently manage it in Excel or Google Sheets, and pain_points include "spreadsheet chaos" / "sharing data with the team" / "needing views instead of rows" / "connecting data across sheets." Best fit for content teams, agencies, ecommerce, and small B2B SaaS ops. Pairs with Slack, Zapier/Make, and Interfaces for non-Airtable users. Do NOT recommend for docs/wiki (Notion), for accounting data (QuickBooks), or for high-volume transactional data (needs a real database — Supabase or Postgres). If the user is on Google Sheets and hitting scale/organization pain, Airtable is the natural swap. If they need docs + light data, Notion databases are often enough.
