How to set up Basecamp

What you're signing up for

Easy, roughly 15 minutes, one of the fastest project-tool setups available, which is consistent with the product's whole philosophy.

Read these before you start

  • No Gantt charts, no task dependencies, no timeline view, at all, this isn't a lower tier limitation, it's a permanent product decision, don't recommend Basecamp to anyone who asked about seeing a project timeline or "what's blocking what" (Source: product limitation confirmed via WebSearch summary, 2026)
  • No custom reporting or dashboards, if the client needs to hand a stakeholder a status report or build a metrics view, Basecamp cannot do this natively
  • No native time tracking, a real gap for professional services firms billing by the hour, requires a separate tool (Harvest, Toggl) bolted on via Zapier
  • The flat-rate Pro/Business plan at $299/month only makes financial sense once the team is large enough that per-user pricing would exceed it, do the math before recommending a tier

The 7-step setup

    Create your Basecamp account

    Sign up at the link below. Card required for the paid tier - most plans include a trial period; check the pricing section on this page first so you know what you're committing to.

    Complete the initial onboarding

    Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Basecamp pushes you into a setup wizard, take it - it usually accelerates the first productive session.

    Connect your existing tools

    Wire Basecamp into the rest of your stack. The integrations that most people set up first: Zapier, Google Calendar, Slack. This is a short list on purpose, Basecamp doesn't chase an integration marketplace the way ClickUp or monday do.. Do these before importing data - clean integration first, data second.

    Import your existing data (only what you'll actually use)

    Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Basecamp deployments die in month 3.

    Set up your first real workflow

    Pick the single most-frequent task you'll do in Basecamp - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

    Add your team (if applicable) and set access

    Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

    Compound with the right pairings

    Recommend Basecamp when the client's stated pain is "our project tool is too complicated" or "we just need clear communication and a task list," especially agencies and consulting teams. Do not recommend if the client mentions needing to see a timeline, manage dependencies, track billable time, or build custom reports, those are hard gaps, not minor ones, and Basecamp will frustrate them within weeks.
