How to set up Bitwarden

Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.

Read these before you start

• Free tier is the best in class but does not include TOTP (two-factor code storage), file attachments, or emergency access. Those are Premium ($10/year), which is trivial but not zero.
• Autofill on mobile requires enabling accessibility service (Android) or the Password AutoFill setting (iOS). Users who skip setup complain autofill "does not work."
• Self-hosting is real but requires a Docker or bare-metal server, TLS, backups, and updates. The official self-host image (Vaultwarden, an unofficial Rust rewrite, is more popular for self-host) has a maintenance overhead.
• Password sharing in the free tier is limited to Send (encrypted one-off share). Persistent shared vaults require Families ($40/year) or Teams tier.
• Master password recovery: Bitwarden zero-knowledge means if you forget your master password and have no backup or recovery, your vault is unrecoverable. Enterprise SSO tier changes this via account recovery admin.

The 7-step setup

   Create your Bitwarden account

   Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.

   Complete the initial onboarding

   Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Bitwarden pushes you into a setup wizard, take it - it usually accelerates the first productive session.

   Connect your existing tools

   Wire Bitwarden into the rest of your stack. The integrations that most people set up first: SSO (SAML, OIDC on Enterprise), Duo (2FA), Yubikey (2FA), LDAP directory sync (Enterprise), CLI (bw command for scripts and DevOps), REST API, browser extensions for every major browser, mobile apps for iOS and Android, desktop apps for macOS, Windows, Linux.. Do these before importing data - clean integration first, data second.

   Import your existing data (only what you'll actually use)

   Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Bitwarden deployments die in month 3.

   Set up your first real workflow

   Pick the single most-frequent task you'll do in Bitwarden - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

   Add your team (if applicable) and set access

   Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

   Compound with the right pairings

   Default password manager recommendation for any client. Free tier covers most solo and small-team needs. Recommend Teams tier ($4/user/month) for agencies and small businesses needing shared vaults. Recommend Enterprise for orgs needing SSO. Recommend 1Password only when the client is already on it or specifically prefers 1Password's UI. Do NOT recommend LastPass (2022 breach; see LastPass brief).
