ClickUp

All-in-one project management with docs, whiteboards, and AI

What it does

ClickUp is a work management platform that tries to replace tasks, docs, whiteboards, chat, goals, and reporting in one workspace. The pitch is "one app to replace them all." In practice, it is a very flexible task and project management tool with a lot of surface area. Teams love it or hate it based on whether they enjoy configuring their tools. If your team wants to build a bespoke workflow, ClickUp will let you. If your team wants a tool that ships with strong opinions, monday.com or Asana will feel cleaner.

Slack, GitHub, Google Drive, Figma, Zapier, HubSpot

Who this fits

  • 5 to 30-person agencies and services businesses running many client projects in parallel
  • Cross-functional startup teams (marketing + product + ops) that want everything in one workspace
  • Teams that have outgrown Trello and need custom fields, dependencies, and reporting
  • Consulting firms tracking billable hours + deliverables + client comms in one place
  • Ops-heavy teams that enjoy configuring tools (ClickUp rewards this)
  • Founders who want a docs product plus a task product without buying two subscriptions

Who it does NOT fit

  • Solo founders who need one to-do list (ClickUp is overkill; Todoist or Things wins)
  • Teams that hate configuration overhead (monday.com or Asana ship with better defaults)
  • Product engineering teams (Linear and Jira are purpose-built and much cleaner for sprints, bug tracking, and dev workflows)
  • Enterprises with strict compliance who need enterprise-grade audit, SSO, HIPAA out of the box on a lower tier (ClickUp gates these on Enterprise)
  • Design-only teams (Figma is enough; ClickUp adds friction)

Pricing

All paid tiers are per user per month, billed annually. Monthly billing runs ~25% higher. - **Free Forever**: $0. Unlimited tasks, unlimited users, 60MB storage, kanban and list views, basic custom fields. Enough for a solo founder or a 2-person team testing the tool. - **Unlimited**: $7/user/mo. Adds unlimited spaces and folders, Gantt charts, integrations, time tracking, goals. First real tier for growing teams. - **Business**: $12/user/mo. Unlimited dashboards, 5,000 automations/mo, timeline views, private whiteboards, sprint points, Google SSO. Where most 10-person teams land. - **Enterprise**: custom quote. Real SSO (SAML), audit logs, HIPAA, 250K automations/mo, dedicated CSM. - **Brain AI add-on**: $9/user/mo. Everything AI: $28/user/mo. AI is separate from the plan tiers and adds up fast on a 10-person team. At 10 users on Business without AI: $120/mo. With Brain AI: $210/mo. With Everything AI: $400/mo. AI pricing is the sneaky part of the bill.

Real gotchas

  • **Team never adopts it**: Complexity kills adoption. If the founder does not enforce workflow, half the team uses ClickUp and half stays in Slack DMs. Every failed ClickUp deployment I have seen died here.
  • **Feature bloat past 100 users**: ClickUp can technically scale, but enterprises tend to migrate to Jira or Asana Enterprise because governance and standardization are cleaner there.
  • **Notifications flood**: ClickUp's default notification settings are aggressive. If nobody tunes them, the team disables all notifications and the tool goes dark.
  • **AI add-on price shock**: Client sees $12/user/mo, signs up, then adds AI and their bill triples. Otto should always price the AI tier explicitly.

Integrations that matter

- **Slack** - task creation from messages, notifications - **Google Drive / Google Docs** - embed and attach - **GitHub / GitLab** - two-way commit and PR sync for engineering teams - **Zapier + Make** - covers most gaps - **Toggl, Harvest** - time tracking passthrough (or use ClickUp's native tracker) - **HubSpot** - CRM to project sync for services businesses - **Figma** - design file embeds in tasks - **Native calendar sync** - Google Calendar two-way - Native integrations count is one of the highest in the category. If a tool exists, ClickUp probably talks to it.

Otto’s take on this tool

> Example: "For your 6-person marketing agency juggling 15 client accounts, ClickUp on the Business tier at $12/user lands you at $72/mo. Custom fields per client, sprint points for retainer weeks, and dashboards that roll up utilization by team member cover exactly what you said was breaking in Trello. Skip the AI add-on until you have a specific job for it, that alone would double your bill."

Editor's curated reviews

671 reviews across TrustPilot - avg 4.1/5

Curated by Otto from TrustPilot public reviews (fetched 2026-08-31). ClickUp has heavy TrustPilot volume (671 reviews at 4.1) - praise clusters on consolidating multiple tools plus AI-assisted reporting, and negatives on complexity, sluggish large lists, and account/support friction. G2 and Capterra were consulted for aggregate context but not directly cited here (source-access limits). Not user-submitted on Ottomately.

  • Essential workspace engine for managing complex development workflows. ClickUp eliminates work sprawl and combines automations with AI to reduce repetitive tasks during sprints.
  • The only tool that actually replaced multiple apps. Our entire CS operation runs through ClickUp, with AI saving hours weekly on reporting and project summaries.
  • ClickUp has been a game changer for the AEC industry. As long as ClickUp doesn't get into feature-gating like Asana did, they'll remain the top platform.
  • Four tools became one, and it mostly runs itself. We replaced four separate tools with automations handling routine work, though very large lists can feel sluggish.
  • Awful customer service. Our account was shut off without proper communication, causing valuable time on critical path projects to be lost.
  • Total shit platform. Excessive complexity as the primary concern.
