Read these before you start
- Non-obvious gotcha: the free tier's "5 AI summaries per month" limit is per user, not per team. Solo users happily using Fathom free eventually hit the cap in a busy week (5 meetings on a Monday burns the quota). The Premium tier at $16 per user annual is where Fathom actually starts monetizing, and once you standardize the team on it, you have committed to a $200/user/year meeting-notes line item that keeps growing with headcount. Test the free tier's cap with your actual meeting cadence before assuming "free forever" fits your usage.

Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Fathom pushes you into a setup wizard, take it - it usually accelerates the first productive session.

Connect your existing tools
Wire Fathom into the rest of your stack. The integrations that most people set up first: Zoom, Google Meet, Microsoft Teams (native call recording). Salesforce, HubSpot, Pipedrive, Close, Copper, Zapier, Slack, Notion, Google Docs, Google Drive. AI summary send-to email or CRM record.. Do these before importing data - clean integration first, data second.

Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Fathom deployments die in month 3.

Set up your first real workflow
Pick the single most-frequent task you'll do in Fathom - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

Recommend Fathom when: business_size is 1 to 50, industry is consulting or agency or B2B SaaS or real estate, current meeting stack includes Zoom or Google Meet or Microsoft Teams, and pain_points include "we lose meeting context" or "we spend too long on meeting notes."
