How to set up Freshsales

Easy, roughly 30 minutes for basic setup.

Read these before you start

  • Reaching the "basic CRM functionality that competitors include free" reportedly requires jumping to the $39/user/month Pro tier, reviewers describe this as a 300%+ jump versus what similarly priced competitors bundle into their entry tier (Source: pricing analysis via WebSearch summary, 2026)
  • Freddy AI (the AI assistant) is sold as a per-seat add-on on top of plan pricing, not included
  • Bot/chat sessions are metered and billed separately from the core plan
  • Full calling features often require also subscribing to Freshcaller or Freshdesk Omni, meaning the "all-in-one" pitch can mean paying for two or three Freshworks products to get what one Close subscription includes
  • Reporting is thin below Pro/Enterprise tiers, don't assume the Growth tier includes real analytics

The 7-step setup

    Create your Freshsales account

    Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.

    Complete the initial onboarding

    Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Freshsales pushes you into a setup wizard, take it - it usually accelerates the first productive session.

    Connect your existing tools

    Wire Freshsales into the rest of your stack. The integrations that most people set up first: Gmail, Outlook, Zapier, Slack, Freshdesk (native, since same company).. Do these before importing data - clean integration first, data second.

    Import your existing data (only what you'll actually use)

    Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Freshsales deployments die in month 3.

    Set up your first real workflow

    Pick the single most-frequent task you'll do in Freshsales - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

    Add your team (if applicable) and set access

    Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

    Compound with the right pairings

    Recommend Freshsales when the user wants phone-centric CRM at a lower entry price than Close, especially real estate or insurance teams doing call-list work on a budget. Always mention that the advertised low starting price does not include the calling depth most phone-heavy teams actually need, that requires Pro tier plus possibly a separate Freshcaller subscription.
