Google Drive

Cloud storage that comes with Google Workspace

What it does

Google Drive is cloud file storage bundled with Google Workspace (Gmail, Docs, Sheets, Slides, Meet, Calendar). Free 15GB per Gmail account across Drive, Gmail, and Photos combined. Paid plans (Google One for consumers, Google Workspace for businesses) scale storage and add features like shared drives (team-owned files that survive when an employee leaves), audit logs, DLP, Vault (retention/eDiscovery), and enhanced sharing controls. Load-bearing feature: real-time multi-user editing of Docs, Sheets, and Slides - Microsoft finally matched it in the browser but Google still owns the collaboration-first mindshare.

Google Workspace, Slack, Zapier

Who this fits

  • Any team that lives in Google Docs/Sheets and needs the storage that comes with it
  • Small teams (2-50) who share files, collaborate live, and comment on drafts
  • Startups defaulting to Google Workspace for email + docs + storage in one bill
  • Agencies collaborating with clients (clients open a shared folder and get the file)
  • Consultants who send deliverables as Google Docs links rather than PDF attachments

Who it does NOT fit

  • Regulated verticals requiring on-premise or specific compliance frameworks (Microsoft's certification depth is broader)
  • Video-heavy production teams that need real media asset management (use Frame.io, Dropbox Replay, or LucidLink)
  • Teams that live in Excel-native workflows (Sheets is close, not equal)
  • Enterprise storage at 100TB+ scale where dedicated file infrastructure wins

Pricing

- Free: 15GB per Google account (shared across Drive, Gmail, Photos) - Google One 100GB: $2/month (consumer, one user) - Google One 2TB: $10/month (consumer) - Google Workspace Business Starter: $6/user/month - 30GB per user, custom email domain - Business Standard: $12/user/month - 2TB per user, shared drives - Business Plus: $18/user/month - 5TB per user, Vault, enhanced security - Enterprise: quoted - unlimited-ish storage, DLP, S/MIME

Real gotchas

  • **Shared drives cap at 500,000 items (files, folders, shortcuts, and trash all count)**, and Google Workspace shows a warning banner when a shared drive drops below 20% remaining capacity - large migrations from legacy file shares can hit this fast (Google Workspace Learning Center "Shared drive limits" article, 2026).
  • The 15GB free tier is shared across Drive, Gmail, and Google Photos - photo backups eat it long before your docs do.
  • Storage caps are per-user pool that Workspace admins can share, not hard per-user limits - budget for the whole team.
  • Downloading a shared Google Doc as .docx loses some formatting fidelity - Microsoft users notice.
  • Vault (retention, eDiscovery, legal hold) is Business Plus and up - the compliance layer is not in the cheap tier.
  • Third-party apps you granted access to years ago still see your Drive - audit at myaccount.google.com/permissions.

Integrations that matter

Everything - Google Drive is the default file store for the SaaS ecosystem. Native tight integrations across the Google Workspace suite (Docs, Sheets, Slides, Meet, Calendar, Forms). Direct connectors into Slack, HubSpot, Salesforce, Asana, Notion, Zapier, Make, DocuSign, Adobe Sign, and every mainstream design tool. Backup and sync clients for macOS and Windows exist and are stable.

Otto’s take on this tool

Recommend Google Drive when: the team is on Google Workspace (obvious), is collaboration-first, is a startup or agency, or already uses Gmail. Default recommendation for storage in any team not already committed to Microsoft or Dropbox. Do NOT push a switch onto teams already on Microsoft 365 (the storage is bundled with what they already pay for) or teams with regulated retention requirements that Google Vault does not cover cleanly. Flag the 500k-item shared drive cap when the client is migrating a large legacy file share - it is the surprise that stops rollouts.
