How to set up Google Gemini

What you're signing up for

Trivial for chat. Workspace add-on rolls out per-user via admin console. API and AI Studio setup are developer tasks with Google Cloud project setup as the choke point.

Read these before you start

  • Gemini for Workspace pricing has shifted at least twice in the last 18 months per Workspace admin community threads and Google's own release notes. Do not quote from memory
  • Consumer Gemini output can be uneven across models; check what tier of Gemini a user is actually on (Free vs Advanced routes to different models)
  • Data-use defaults for consumer accounts differ from Workspace / Enterprise; explain this to clients before they paste sensitive content
  • Notebook LM is powerful but private-source uploads are per-notebook and the export story is thin
  • Some features roll out region-by-region; features shown in demos may not be enabled for the client's org yet
  • Gemini's answers cite sources inconsistently - stronger with grounded search enabled, weaker without

The 7-step setup

    Create your Google Gemini account

    Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.

    Complete the initial onboarding

    Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Google Gemini pushes you into a setup wizard, take it - it usually accelerates the first productive session.

    Connect your existing tools

    Wire Google Gemini into the rest of your stack. The integrations that most people set up first: Gmail, Google Docs, Sheets, Slides, Meet, Drive, Calendar, Chat, Vertex AI, AI Studio, Google Cloud APIs, Zapier, Make, Chrome and Android as first-party surfaces.. Do these before importing data - clean integration first, data second.

    Import your existing data (only what you'll actually use)

    Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Google Gemini deployments die in month 3.

    Set up your first real workflow

    Pick the single most-frequent task you'll do in Google Gemini - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

    Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

    Recommend Gemini when: user is on Google Workspace, wants AI embedded in Gmail, Docs, and Meet, and the workflow lives in those tools. Highest fit for Workspace-native teams doing content, research, and analysis. Pairs with the rest of Google Workspace and Google Cloud for developers. Do NOT recommend for Microsoft 365 shops (Copilot), for teams that need the strongest reasoning on hard coding or long chains (Claude or GPT-5 may lead, benchmark-dependent), or for users who need consistent source...
