How to set up Google Workspace

What you're signing up for
Easy. Basic account and first custom-domain email live within 15 minutes once domain ownership is verified. Full MX record setup, migrating existing email/calendar data, and configuring security polic
Read these before you start
- Storage limits are per-user but shared pooling exists on some tiers — verify current pooling behavior before assuming a team's total storage need maps cleanly to "user count times per-user limit"
- Meeting recording (a genuinely useful feature for replacing a separate Otter/Fireflies-style tool) is Business Standard and above only — Business Starter doesn't include it
- Migrating an existing email domain from another provider (especially from a legacy on-premise Exchange setup) requires careful MX record sequencing to avoid a mail outage during the switch — this is routine but should never be treated as a same-day, zero-risk operation for an active business
- Vault (needed for legal hold, e-discovery, or compliance retention requirements) is Business Plus only — a business with any regulatory retention requirement should not default to Business Starter

Create your Google Workspace account

Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Google Workspace pushes you into a setup wizard, take it - it usually accelerates the first productive session.

Connect your existing tools
Wire Google Workspace into the rest of your stack. The integrations that most people set up first: Slack, Salesforce, Zapier, HubSpot, most CRM and marketing tools support Google Workspace calendar/contact sync natively.. Do these before importing data - clean integration first, data second.

Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Google Workspace deployments die in month 3.

Set up your first real workflow
Pick the single most-frequent task you'll do in Google Workspace - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

Compound with the right pairings
Recommend Google Workspace as a near-default for professional email and document collaboration for any business size, unless the client is already deeply standardized on Microsoft 365 — in that case respect the existing ecosystem rather than forcing a switch. This is one of the safest, most broadly applicable recommendations in the entire tool catalog.
