How to set up Grain

Read these before you start

  • Enterprise-grade administrative privacy controls are limited, if a client is in a regulated industry or has strict data-governance requirements, confirm Grain's actual data collection and control options meet those needs before recommending, don't assume enterprise-level privacy controls exist just because the product markets to sales/revenue teams (Source: privacy policy analysis via WebSearch summary, 2026)
  • Confirm the client's state/industry consent requirements are satisfied by Grain's disclaimer-based consent flow, especially for two-party-consent states, this is a compliance question worth a direct answer, not an assumption
  • No free tier means the client is committing budget from the start to evaluate the product

The 7-step setup

    Create your Grain account

    Sign up at the link below. Card required for the paid tier - most plans include a trial period; check the pricing section on this page first so you know what you're committing to.

    Complete the initial onboarding

    Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Grain pushes you into a setup wizard, take it - it usually accelerates the first productive session.

    Connect your existing tools

    Wire Grain into the rest of your stack. The integrations that most people set up first: Zoom, Google Meet, Slack, Salesforce, HubSpot.. Do these before importing data - clean integration first, data second.

    Import your existing data (only what you'll actually use)

    Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Grain deployments die in month 3.

    Set up your first real workflow

    Pick the single most-frequent task you'll do in Grain - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

    Add your team (if applicable) and set access

    Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

    Compound with the right pairings

    Recommend Grain for sales and customer success teams wanting to easily share specific meeting moments and sync call insights to CRM. Flag the limited enterprise privacy/governance controls if the client operates in a regulated industry or has strict data-handling requirements, this is a real gap worth surfacing rather than assuming it's covered. Confirm the client's compliance/consent requirements are actually met by Grain's consent flow before recommending for any legally sensitive use case.
