How to set up Gusto

What you're signing up for
Basic setup: 45 minutes for a first-time payroll (add company info, add EIN, add employees, set up bank account). First payroll runs 3-4 business days later once ACH is verified. Migrating from ADP or
Read these before you start
- **Multi-state expansion**: The Plus tier jump doubles per-employee cost. If a client is about to hire in 3-4 states, price it out on Plus before signing up on Simple.
- **50+ employees with complex benefits**: Gusto's health benefits marketplace is fine for basic plans. If the business has a broker running a custom plan structure with multiple carriers, Gusto's admin gets clunky.
- **Rapid international hiring**: Gusto has no path to pay a full-time employee in Canada, UK, Mexico. Deel or Remote is the graduation.
- **Restaurant with heavy tip credit complexity**: Gusto handles it, but the setup is fussy. A tip-heavy 30+ employee restaurant may find Toast Payroll or Restaurant365 fits better.

Create your Gusto account
Sign up at the link below. Card required for the paid tier - most plans include a trial period; check the pricing section on this page first so you know what you're committing to.

Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Gusto pushes you into a setup wizard, take it - it usually accelerates the first productive session.

Connect your existing tools
Wire Gusto into the rest of your stack. The integrations that most people set up first: - **QuickBooks Online** - native, two-way sync. Payroll journals push automatically. This alone justifies Gusto over cheaper competitors for accountant-led shops - **Xero** - native sync, similar quality to QuickBooks - **When I Work, Homebase, Deputy** - scheduling and time clock apps that push hou.... Do these before importing data - clean integration first, data second.

Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Gusto deployments die in month 3.

Set up your first real workflow
Pick the single most-frequent task you'll do in Gusto - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

Compound with the right pairings
> Example: "For your 4-person medspa, Gusto Simple at $49/mo plus $6/employee lands you at about $73/mo. That covers Arizona state payroll, quarterly and annual tax filings, direct deposit, and health benefits admin if you offer them. Your bookkeeper can pull the journals straight into QuickBooks with the native integration, which kills the manual entry you mentioned. Skip Plus until you open a second location outside Arizona."

- **Contractor Only**: $35/mo base + $6/mo per active contractor. Only billed for months you actually pay them. If you have 3 contractors that you paid this month, you pay $53. Best pricing in the category for a founder building a contractor-heavy team. - **Simple**: $49/mo base + $6/mo per employee. Single-state W-2 payroll, health insurance admin, basic hiring tools.
