Help Scout

Email-first customer support with knowledge base

What it does

Help Scout is customer support built around a shared inbox that still feels like email, not a ticketing system with case numbers and a queue interface. Customers email support like they email a person; the team sees a shared inbox with internal notes, saved replies, and a customer profile alongside each conversation, plus a native knowledge base and light live chat. It's the choice for teams that find Zendesk's ticketing-system feel too corporate for a support experience they want to feel personal and human.

Integrates with

Slack, HubSpot, Salesforce, Shopify, Zapier

Who this fits

  • Startups and small-to-mid teams (1-100) who want support to feel like a real person replying, not a ticket number
  • SaaS companies wanting a clean shared inbox plus a public knowledge base without enterprise complexity
  • Teams that prioritize a fast, simple agent experience over deep omnichannel routing and workforce analytics
  • E-commerce brands that want customer context (order history, prior conversations) visible alongside each email without a heavy CRM-style interface

Who it does NOT fit

  • Enterprise or high-volume support orgs needing sophisticated SLA rules, complex routing logic, and deep workforce analytics — Zendesk fits that need better
  • Teams needing true omnichannel (social, SMS, in-app chat routing all in one queue) — Help Scout is lighter here than Zendesk or Freshdesk
  • Budget-conscious teams that could run on Freshdesk's genuinely free 10-agent tier — Help Scout has no free tier at all
  • Very large teams beyond the mailbox limits on lower tiers — mailbox count is a real constraint at scale

Pricing

- Standard: $20/user/mo — 2 mailboxes, knowledge base - Plus: $40/user/mo — 5 mailboxes, custom fields - Pro: $65/user/mo — 25 mailboxes, enterprise-grade features - No free tier — this is a real gap against Freshdesk's free 10-agent plan for a price-sensitive small team

Real gotchas

  • No free tier at all — a very small or pre-revenue team evaluating help desks on budget will hit Freshdesk's free plan first and may never get to Help Scout's paid-only entry point
  • Mailbox limits (2 on Standard, 5 on Plus) can become a real constraint faster than expected for a business running multiple support addresses (support@, billing@, a client-specific inbox) — model actual mailbox needs before picking a tier
  • Omnichannel and advanced routing depth trail Zendesk and Freshdesk noticeably — if the client's real need is complex multi-channel queue management, Help Scout's simplicity becomes a limitation rather than a feature
  • AI Summarize and other newer AI features are present but not as deeply built out as Zendesk's AI agent layer — set expectations accordingly if AI-assisted resolution is a priority

Otto’s take on this tool

Recommend Help Scout when: the client is a startup or SaaS team (1-100 people) that wants support to feel personal and email-native rather than ticket-system corporate, and doesn't need deep omnichannel routing or enterprise workforce analytics. Do NOT recommend for enterprise-scale or high-complexity routing needs (Zendesk wins), and do NOT recommend to a very budget-conscious small team without first mentioning Freshdesk's free tier as a genuine no-cost alternative. Pairs with HubSpot or Salesforce for customer context and Shopify for e-commerce order history in the conversation view.

Editor's curated reviews

42 reviews across TrustPilot - avg 3.4/5

Curated by Otto from TrustPilot public reviews (fetched 2026-08-31). 42 total reviews at a 3.4 headline - thin sample with heavy bimodal shape (40% 5-star, 36% 1-star). Read both clusters before signing an annual contract. The 5-star cluster is dominated by long-tenure customers (5-9+ years) crediting a lightweight EMS alternative to overpriced enterprise ticketing suites, with named-support-rep thanks (Lisa Bradley). The 1-star cluster is heavily driven by a recent pricing-change complaint - customers reporting plan upgrades that push annual cost from ~$1,500 to $7,500+ tied to AI-drafts / unlimited-seats bundling. Verify current pricing tier and grandfathering options directly with Help Scout before committing to a renewal. G2 and Capterra were consulted for aggregate context but not directly cited here (source-access limits). Not user-submitted on Ottomately.

  • We've been using HelpScout for the last 7 years and it has been exactly what we were looking for, an alternative option to overpriced enterprise level EMS options.

  • They just announced they are 'upgrading' our plan from 1500 a year to over 7500 a year. So that we can use AI drafts and have 'unlimited seats'.

  • I've been using Help Scout for nine years, and unfortunately, my experience has been less than satisfactory. Throughout this time, I've encountered numerous bugs.

  • I tried several times to register on the system, but first they repeatedly failed to send the verification SMS.
