How to set up Homebase

Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.

What you're signing up for

Easy. First schedule live in an hour. Time-clock rollout with staff takes a week of coaching. Payroll onboarding follows the standard 1-2 week tax-ID and direct-deposit pattern.

Read these before you start

  • Homebase Payroll is real but younger than Gusto or ADP - multi-state complexity and edge cases still surface in support tickets per r/smallbusiness and Trustpilot reviews. Confirm the client's state and setup before recommending
  • GPS and photo time-clock features are strong for reducing buddy-punching but require a policy conversation with staff
  • SMS reminders and hiring features are gated behind higher tiers
  • The mobile app is central to the product; employees without smartphones will need a shared kiosk
  • Break-and-overtime compliance alerts are helpful but do not replace a lawyer for high-risk states (California, New York, Washington)
  • Data export is standard CSV; migrating off is fine

    Create your Homebase account

    Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.

    Complete the initial onboarding

    Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Homebase pushes you into a setup wizard, take it - it usually accelerates the first productive session.

    Connect your existing tools

    Wire Homebase into the rest of your stack. The integrations that most people set up first: Square POS, Toast, Clover, Shopify POS, Lightspeed, Aloha, Revel, QuickBooks Online, Xero, Wave, Gusto (as an alternative payroll), Zapier, Slack.. Do these before importing data - clean integration first, data second.

    Import your existing data (only what you'll actually use)

    Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Homebase deployments die in month 3.

    Set up your first real workflow

    Pick the single most-frequent task you'll do in Homebase - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

    Add your team (if applicable) and set access

    Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

    Compound with the right pairings

    Recommend Homebase when: user runs an hourly-staffed small business (restaurant, cafe, retail, salon, medspa, small trades team), 1-50 employees, 1-3 locations, and wants scheduling + time-clock + optional payroll in one app. Highest fit for food service and personal-care shops. Pairs with Square POS, Toast, or Clover for restaurants; with the shop's POS for retail.
