How to set up HubSpot

Read these before you start

  • Contact-tier pricing: Marketing Hub prices by marketing-contact count. A viral list-growth event can push you into the next bracket
  • The upgrade cliff from Starter to Professional is 20-40x price. Model it before you commit
  • Custom objects live on Enterprise only
  • Workflows are only in Professional and above (Starter has basic sequences, not full workflows)
  • HubSpot's ecosystem is huge but many "certified integrations" are lightweight — verify depth
  • Free CRM is real but is used as a hook. Every "upgrade to unlock" prompt in the UI is a reminder

    Create your HubSpot account

    Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.

    Complete the initial onboarding

    Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If HubSpot pushes you into a setup wizard, take it - it usually accelerates the first productive session.

    Connect your existing tools

    Wire HubSpot into the rest of your stack. The integrations that most people set up first: Gmail, Google Workspace, Outlook, Microsoft 365, Slack, Zoom, Salesforce, Stripe, QuickBooks, Xero, Shopify, WordPress, Zapier, Make, WhatsApp, Instagram, LinkedIn, Meta Ads, Google Ads, Calendly, Cal.com, Intercom.. Do these before importing data - clean integration first, data second.

    Import your existing data (only what you'll actually use)

    Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how HubSpot deployments die in month 3.

    Set up your first real workflow

    Pick the single most-frequent task you'll do in HubSpot - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

    Add your team (if applicable) and set access

    Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

    Compound with the right pairings

    Recommend HubSpot when: user needs inbound + sales + service on one platform, business_size is 2+, and industry is agency / consulting / B2B SaaS / professional services. Best free-tier CRM in the market — safe starting recommendation even when the user is not sure they need a paid tier yet. Pairs with Google Workspace, Slack, Stripe, and a scheduling tool.
