Productivity - Setup Guide

How to set up Integrately

Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.

What you're signing up for

Easy, roughly 10 minutes given the one-click template model, the fastest setup of the automation tools Otto tracks.

Read these before you start

  • Task consumption math surprises users, a modest 5-step workflow with 2 filters running 100 times a day consumes roughly 21,000 tasks a month, which blows past the $40/month Professional plan's 10,000-task limit, do the math on expected volume before recommending a tier (Source: WebSearch summary of usage analysis, 2026)
  • Hard task limits with no overage, when the monthly cap is hit, automations simply pause rather than running with an overage charge, this can silently break a client's workflow mid-month if volume spikes
  • Independent testing over 90 days found it highly reliable for standard workloads (two brief outages), but occasional glitches show up with specific app integrations, don't assume every integration is equally solid

The 7-step setup

  1. 1

    Create your Integrately account

Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.

    Open Integrately signup
  2. 2

    Complete the initial onboarding

Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Integrately pushes you into a setup wizard, take it - it usually accelerates the first productive session.

  3. 3

    Connect your existing tools

Wire Integrately into the rest of your stack. The integrations that most people set up first: Google Sheets, Slack, Shopify, HubSpot, Mailchimp.. Do these before importing data - clean integration first, data second.

  4. 4

Import your existing data (only what you'll actually use)

Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Integrately deployments die in month 3.

  5. 5

Set up your first real workflow

Pick the single most-frequent task you'll do in Integrately - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

  6. 6

Add your team (if applicable) and set access

Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

  7. 7

    Compound with the right pairings

Recommend Integrately when the client's automation need is simple and likely matches a common template (order notifications, lead alerts, basic data sync) and they want the fastest possible setup with no learning curve. Before recommending a specific pricing tier, estimate the client's actual monthly task volume, the hard-limit-with-no-overage gotcha means an undersized plan will visibly break their automation mid-month rather than just costing more. Pricing you'll hit

Per tools.json: Free tier (100 tasks/month), Starter $20/mo (2,000 tasks), Professional $40/mo (10,000 tasks), Growth $100/mo (30,000 tasks). Confirm current numbers at integrately.com/pricing.
