Scheduling & Booking - Setup Guide
How to set up Motion
Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.
What you're signing up for
Easy, roughly 15 minutes for basic setup.
Read these before you start
- The 2026 pricing restructure is a documented trust issue, multiple users report canceling specifically because of confusing tiering and features being locked behind plans they weren't on, verify what's actually included at the tier being recommended, don't assume older reviews' feature lists still apply (Source: pricing analysis via WebSearch summary, 2026)
- Cancellation friction is a real, reported problem, users describe being charged immediately at signup and billing continuing even after attempting to cancel a trial, walk the client through the actual cancellation process before they commit (Source: user reports via WebSearch summary, 2026)
- The AI auto-scheduling algorithm, while praised as genuinely impressive, can overpack the day with no buffer for the unplanned interruptions that are normal in most SMB workflows, set expectations that manual adjustment will still be needed some days
- This is a personal productivity tool first, team collaboration second, don't position it as a replacement for a real project management tool for a growing team
The 7-step setup
- 1
Create your Motion account
Sign up at the link below. Card required for the paid tier - most plans include a trial period; check the pricing section on this page first so you know what you're committing to.
Open Motion signup - 2
Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Motion pushes you into a setup wizard, take it - it usually accelerates the first productive session.
- 3
Connect your existing tools
Wire Motion into the rest of your stack. The integrations that most people set up first: Google Calendar, Outlook, Zoom, Zapier.. Do these before importing data - clean integration first, data second.
- 4
Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Motion deployments die in month 3.
- 5
Set up your first real workflow
Pick the single most-frequent task you'll do in Motion - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.
- 6
Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.
- 7
Compound with the right pairings
Recommend Motion for individual busy professionals or small consulting teams whose core pain is "my calendar is chaos and I can't protect focus time," not for teams needing collaborative project management. Explicitly flag the pricing/billing complaints before the client signs up, and recommend they screenshot or note the specific plan and price shown at signup given the reported billing confusion. If predictable pricing matters more than AI auto-scheduling, a simpler calendar-blocking habit plu...
Pricing you'll hit
Per tools.json: Individual ~$19/month (annual) or higher monthly, Team ~$12/user/month for team plans. Independent sources report the 2026 restructure pushed some plans as high as ~$29-49/month depending on billing cycle and tier. Confirm exact current pricing at usemotion.com/pricing before quoting, and specifically confirm cancellation terms given the documented billing complaints.
