How to set up Notion

Read these before you start

• The information-architecture problem is real. Set up teamspaces, permissions, and top-level structure before inviting the team
• Databases are powerful but can become unusably slow past 5,000 rows
• Search is functional but not great. Rely on links and structure, not search
• Offline is weak. Do not rely on Notion for a plane trip
• Notion AI usage adds up and pricing has shifted several times — verify before recommending
• Import from other tools (Confluence, Google Docs) is decent but not lossless

The 7-step setup

   Create your Notion account

   Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.

   Complete the initial onboarding

   Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Notion pushes you into a setup wizard, take it - it usually accelerates the first productive session.

   Connect your existing tools

   Wire Notion into the rest of your stack. The integrations that most people set up first: Slack, Google Drive, Figma, GitHub, Zapier, Make, Loom, Miro, Zoom, Typeform, Tally, Jira, Asana, Trello (imports), Calendly, Fathom AI notes, ChatGPT.. Do these before importing data - clean integration first, data second.

   Import your existing data (only what you'll actually use)

   Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Notion deployments die in month 3.

   Set up your first real workflow

   Pick the single most-frequent task you'll do in Notion - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

   Add your team (if applicable) and set access

   Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

   Compound with the right pairings

   Recommend Notion when: user needs an internal wiki, docs, or lightweight project tracker, and business_size is 1-50. Highest fit for consultants, agencies, B2B SaaS, and content creators. Pairs with Slack, Google Workspace, GitHub, and Loom. Do NOT recommend for trades or field teams (use Connecteam), for regulated industries needing audit trails (use Confluence), or for real project management with resource planning (Wrike, Monday).
