Accounting - Setup Guide
How to set up PayPal
Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.
What you're signing up for
Trivial for a business account and a PayPal button (an hour). Easy for Shopify/WooCommerce integration (already native, click-through). Medium for Braintree developer integration. Hard for surviving P
Read these before you start
- **PayPal buyers have 180 days from payment to open a dispute, and once a claim opens PayPal HOLDS the disputed funds until resolution while sellers get just 10 days to respond or the case auto-closes in the buyer's favor** (PayPal US "Dispute filing timeframes" help article and Chargebacks911 PayPal chargeback time limits, 2026). This is why PayPal-heavy sellers get burned: a chargeback surge or a compliance flag can lock 6-figure balances for weeks with limited recourse. Do not rely on PayPal as the only balance for the business - sweep to a bank account weekly.
- New accounts often get 21-day rolling holds on funds until history is established.
- Reserve requirements can appear without warning when transaction volume or dispute rate crosses internal thresholds.
- Cross-border payments carry currency conversion spread that is easy to miss.
- Recurring subscriptions via PayPal are supported but weaker than Stripe Billing.
- PayPal Bank ILC charter is pending FDIC/Utah approval (filed December 2025) - if approved, PayPal handles merchant acquiring directly, which changes the chargeback pipeline.
The 7-step setup
- 1
Create your PayPal account
Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.
Open PayPal signup - 2
Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If PayPal pushes you into a setup wizard, take it - it usually accelerates the first productive session.
- 3
Connect your existing tools
Wire PayPal into the rest of your stack. The integrations that most people set up first: Every e-commerce platform (Shopify, WooCommerce, Wix, Squarespace, BigCommerce), every invoicing tool (QuickBooks, Xero, FreshBooks, Wave, HoneyBook), donation platforms (Donorbox, Bloomerang), marketplaces (many gig platforms use Payouts API), Zapier, native REST API + Braintree SDK.. Do these before importing data - clean integration first, data second.
- 4
Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how PayPal deployments die in month 3.
- 5
Set up your first real workflow
Pick the single most-frequent task you'll do in PayPal - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.
- 6
Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.
- 7
Compound with the right pairings
Recommend PayPal when: business_type is e-commerce (as a SECOND checkout option, not the only one), freelancer/consultant invoicing, nonprofit donations, or international payment collection where a local acquirer is not available. Do NOT recommend as the primary processor for a SaaS (Stripe), in-person retail (Square), or any business that cannot afford a fund hold. Always pair PayPal with a second processor and a weekly sweep to a bank account. Flag the 180-day dispute window and hold behavior ...
Pricing you'll hit
- No monthly fee for a standard business account - Online card payments: 3.49% + $0.49 per transaction (higher than Stripe's 2.9% + $0.30) - Standard PayPal wallet checkout: 3.49% + $0.49 - Invoicing: 3.49% + $0.49 - Micropayments plan available for high-volume small tickets - Currency conversion adds ~3-4% spread on top of the stated rate
