How to set up Perplexity

Read these before you start

• Citations are usually right but not always - Perplexity has been publicly criticized (Wired, Forbes, and multiple reporter threads through 2024 and 2025) for citing sources that do not fully support the claim, and for occasional hallucinated URLs. Verify high-stakes facts against the primary source
• Publishers have raised concerns and lawsuits about Perplexity's use of their content; the legal landscape is evolving. Enterprise buyers should track this
• Pro search rate limits exist but are generous; hit them and quality degrades
• The mobile app is good; the desktop experience is browser-first
• Comet browser is early - impressive demos, uneven day-to-day
• File uploads on Pro are useful but the analysis is grounded in the model, not the same "answer-engine-with-citations" flow

The 7-step setup

   Create your Perplexity account

   Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.

   Open Perplexity signup

   Complete the initial onboarding

   Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Perplexity pushes you into a setup wizard, take it - it usually accelerates the first productive session.

   Connect your existing tools

   Wire Perplexity into the rest of your stack. The integrations that most people set up first: Sonar API, Zapier (via API), browser extensions, Slack (via API), custom internal tools via API. Not deeply integrated into Google Workspace or Microsoft 365 - Perplexity is a standalone answer engine, not an embedded copilot.. Do these before importing data - clean integration first, data second.

   Import your existing data (only what you'll actually use)

   Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Perplexity deployments die in month 3.

   Set up your first real workflow

   Pick the single most-frequent task you'll do in Perplexity - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

   Add your team (if applicable) and set access

   Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

   Compound with the right pairings

   Recommend Perplexity when: user needs current-web answers with citations, real-time competitor / market / news research, or a search-first AI. Highest fit for consultants, analysts, BD, and founders. Pairs with Claude or GPT for follow-on deep writing, and with a CRM for account research (Sales Navigator + Perplexity is a common combo). Do NOT recommend as the primary tool for deep reasoning or coding (Claude or GPT fit better), for Workspace or Microsoft 365-embedded work (Gemini or Copilot), o...
