Productivity - Setup Guide
How to set up Piktochart
Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.
What you're signing up for
Easy, roughly 10 minutes for basic setup.
Read these before you start
- The free tier's 2-download-EVER limit (not per month) is the single most important gotcha to communicate upfront, a client testing the free tier for multiple projects will hit a wall fast and unexpectedly, set this expectation clearly before they invest time building content assuming ongoing free access (Source: user reviews via WebSearch summary, 2026)
- Performance can lag on graphics-heavy, multi-layer projects, test with a real, complex use case before committing a client's workflow to it
- Export format flexibility (DPI, color profiles, multi-page PDF) is limited versus more design-focused tools, confirm this covers the client's actual output needs (print vs. digital, single vs. multi-page)
- Confirm current Pro pricing directly, sources disagree on the exact monthly rate
The 7-step setup
- 1
Create your Piktochart account
Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.
Open Piktochart signup - 2
Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Piktochart pushes you into a setup wizard, take it - it usually accelerates the first productive session.
- 3
Connect your existing tools
Wire Piktochart into the rest of your stack. The integrations that most people set up first: Google Sheets, Zapier.. Do these before importing data - clean integration first, data second.
- 4
Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Piktochart deployments die in month 3.
- 5
Set up your first real workflow
Pick the single most-frequent task you'll do in Piktochart - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.
- 6
Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.
- 7
Compound with the right pairings
Recommend Piktochart for HR, education, and nonprofit teams needing simple, template-driven infographics and reports without a steep learning curve. Always flag the free tier's true limit (2 downloads ever, not monthly) before the client relies on it, this is a common and jarring surprise. For deeper data-visualization needs or heavier print-production requirements, Visme is the stronger recommendation.
Pricing you'll hit
Per tools.json: Free (limited templates, 2 lifetime downloads per user reports), Pro ~$14-24/mo (all templates, brand kit, numbers vary by source), Enterprise custom (team features). Confirm current numbers at piktochart.com/pricing given the pricing discrepancy across sources.
