How to set up QuickBooks

What you're signing up for
Easy to sign up, medium to set up correctly. Chart of accounts, opening balances, bank feed rules, and sales tax setup are where users get in trouble. Budget 4-8 hours to configure or a few hundred do
Read these before you start
- The tier upgrade path costs real money. Users often need Plus (for inventory or projects) and get sold Simple Start
- Payroll is a separate SKU, not included in any accounting tier
- Bank-feed matching needs rules maintained. Without them, categorization drifts and reports mislead
- Multi-entity businesses need one QBO subscription per legal entity, not per DBA
- Data export out of QBO is painful. Migration off is a project
- App marketplace has 700+ integrations of varying quality — check reviews before installing

Create your QuickBooks account

Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If QuickBooks pushes you into a setup wizard, take it - it usually accelerates the first productive session.

Connect your existing tools
Wire QuickBooks into the rest of your stack. The integrations that most people set up first: Stripe, Square, Shopify, PayPal, Melio, Bill.com, Gusto (payroll), TSheets/QuickBooks Time (time tracking), HubSpot, Salesforce, Expensify, Ramp, Brex, Amazon Seller, Etsy, WooCommerce, Zapier.. Do these before importing data - clean integration first, data second.

Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how QuickBooks deployments die in month 3.

Set up your first real workflow
Pick the single most-frequent task you'll do in QuickBooks - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

Compound with the right pairings
Recommend QuickBooks when: user is a US SMB and does not already have accounting software (or is on a spreadsheet). Default answer for US businesses. Best fit is trades, real estate, ecommerce, consulting, and agencies. Pairs with Melio (AP), Gusto (payroll), Stripe (payments), Shopify (ecom), and any CRM.
