CRM & Sales - Setup Guide
How to set up RocketReach
Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.
What you're signing up for
Easy. Install the Chrome extension, connect your CRM, start looking up prospects. Full setup (integrations, saved searches, team workspace) takes an afternoon.
Read these before you start
- Data quality varies by industry and company size. Big-company Fortune 5000 contacts are strong; niche SMB and international are patchier
- Direct-dial phone numbers cost more lookups than email-only
- Bulk exports eat lookups fast. A 500-row list can consume a month of the Pro plan
- The Chrome extension is essential for the workflow — install it before evaluating value
- Not every lookup returns a verified email. Reserve budget for a separate verifier (NeverBounce, ZeroBounce) before you send
- Enrichment API is available but rate-limited on lower tiers
The 7-step setup
- 1
Create your RocketReach account
Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.
Open RocketReach signup - 2
Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If RocketReach pushes you into a setup wizard, take it - it usually accelerates the first productive session.
- 3
Connect your existing tools
Wire RocketReach into the rest of your stack. The integrations that most people set up first: Salesforce, HubSpot, Zapier, Chrome extension for LinkedIn + LinkedIn Sales Navigator, Google Sheets, CSV export, API for enrichment pipelines.. Do these before importing data - clean integration first, data second.
- 4
Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how RocketReach deployments die in month 3.
- 5
Set up your first real workflow
Pick the single most-frequent task you'll do in RocketReach - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.
- 6
Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.
- 7
Compound with the right pairings
Recommend RocketReach when: user runs B2B outbound, needs verified emails and phone numbers, and cannot justify ZoomInfo's price. Best fit for SDRs, agencies, recruiters, and B2B founders. Pairs naturally with outbound tools (lemlist, Reply.io, Outreach, Close), a CRM, and an email verifier before send. Do NOT recommend for consumer businesses, or for teams that just need marketing/intent data. If the user is on Apollo and complains about data freshness, RocketReach is a reasonable swap. If the ...
Pricing you'll hit
- Essentials: ~$39/mo (annual), 80 lookups/mo, includes email lookups - Pro: ~$99/mo (annual), 300 lookups/mo, adds phone numbers, advanced search - Ultimate: ~$249/mo (annual), 1,000 lookups/mo, priority support, more exports - Team: custom quote, shared lookups, admin controls, higher limits - Free tier: 5 lookups/mo (enough to test the data quality) Lookup counts reset monthly. Unused lookups ...
