CRM & Sales - Setup Guide

How to set up SalesAR

Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.

What you're signing up for

Managed (Easy for the buyer, real work for their team). Onboarding is 1-2 weeks: kickoff, ICP finalization, offer messaging, list building, domain warm-up. First meetings typically 4-8 weeks in.

Read these before you start

  • This is an agency, not a SaaS tool. Understand what "success" means in your contract (meetings booked? qualified meetings? closed revenue?)
  • ICP and offer need to be sharp. Fuzzy targeting produces fuzzy meetings
  • Cold email deliverability is a shared responsibility. Domain warm-up, DNS setup, suppression management matter
  • Meeting quality varies by campaign. Expect iteration in the first 4-8 weeks
  • Payment terms usually monthly upfront. Contract termination and pause clauses matter
  • Not a fit for teams with immature offers or unclear positioning

The 7-step setup

  1. 1

    Create your SalesAR account

Sign up at the link below. Card required for the paid tier - most plans include a trial period; check the pricing section on this page first so you know what you're committing to.

    Open SalesAR signup
  2. 2

    Complete the initial onboarding

Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If SalesAR pushes you into a setup wizard, take it - it usually accelerates the first productive session.

  3. 3

    Connect your existing tools

Wire SalesAR into the rest of your stack. The integrations that most people set up first: HubSpot, Salesforce, Pipedrive, Google Calendar, Outlook Calendar, Calendly, Cal.com, Slack, native reporting dashboards, custom CRM sync per engagement.. Do these before importing data - clean integration first, data second.

  4. 4

Import your existing data (only what you'll actually use)

Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how SalesAR deployments die in month 3.

  5. 5

Set up your first real workflow

Pick the single most-frequent task you'll do in SalesAR - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

  6. 6

Add your team (if applicable) and set access

Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

  7. 7

    Compound with the right pairings

Recommend SalesAR when: user is a B2B SaaS, consulting, agency, or IT services company; ACV is $10K+; pain_point is "we need meetings booked and don't want to hire and manage SDRs"; and the offer/ICP is already validated. Pairs with the customer's own CRM (HubSpot, Salesforce, Pipedrive), a calendar tool (Calendly), and a sales enablement stack (Loom, PandaDoc). Do NOT recommend for pre-PMF companies, B2C, local services, or teams that want a self-serve tool (Instantly, Lemlist, Apollo). Flag th...

Pricing you'll hit

- Monthly retainers typically $3,000-8,000+/month depending on volume and channels - Custom scope by campaign: list size, email volume, LinkedIn volume, dedicated resource level - Setup/onboarding fee may apply (typically covered inside the first month) - Meeting-based pricing options in some engagements Contract terms usually 3-6 months minimum. Get itemized deliverables in writing.
