Scheduling & Booking - Setup Guide

How to set up Setmore

Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.

What you're signing up for

Easy, roughly 15 minutes for basic setup.

Read these before you start

  • The free tier cannot remove Setmore branding, cannot do two-way calendar sync, cannot send SMS reminders, and cannot run video appointments, it's a real free tier but it's genuinely limited, not just capped on volume (Source: pricing breakdown via WebSearch summary, 2026)
  • Google Calendar sync inconsistencies are the dominant complaint across review sites, if the client's workflow depends on tight calendar sync reliability, test this specifically before committing
  • No per-service, day-specific scheduling rules, if the business needs "this service only bookable on Tuesdays" logic, Setmore can't do it natively
  • Some r/smallbusiness users reported new Stripe application fees appearing on payments in late 2025, worth confirming current payment-processing terms before quoting to a payment-heavy client (Source: Reddit r/smallbusiness reference, via WebSearch summary 2026)

The 7-step setup

  1. 1

    Create your Setmore account

Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.

    Open Setmore signup
  2. 2

    Complete the initial onboarding

Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Setmore pushes you into a setup wizard, take it - it usually accelerates the first productive session.

  3. 3

    Connect your existing tools

Wire Setmore into the rest of your stack. The integrations that most people set up first: Zoom, Google Calendar, Square, Stripe, Zapier.. Do these before importing data - clean integration first, data second.

  4. 4

Import your existing data (only what you'll actually use)

Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Setmore deployments die in month 3.

  5. 5

Set up your first real workflow

Pick the single most-frequent task you'll do in Setmore - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

  6. 6

Add your team (if applicable) and set access

Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

  7. 7

    Compound with the right pairings

Recommend Setmore for genuinely budget-constrained small service businesses that need basic booking + reminders and can live within the free tier's real limitations (no branding removal, no video, no SMS, no two-way sync). If the client specifically needs day-specific booking rules or rock-solid calendar sync, test those features first or steer toward Acuity or SimplyBook.me instead.

Pricing you'll hit

Per tools.json: Free (4 users, 100 appointments per some sources, 200/month per others, confirm current cap), Pro ~$5/user/month (SMS reminders), Team ~$5-12/user/month (unlimited users, custom branding). Confirm current numbers and exact free-tier caps at setmore.com/pricing, sources vary slightly on the monthly appointment cap.
