Marketing & Funnels - Setup Guide
How to set up Systeme.io
Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.
What you're signing up for
Easy, roughly 30 minutes to launch a basic funnel.
Read these before you start
- The design/template quality is the most repeated criticism, pages look noticeably dated versus Kartra, ClickFunnels, or Kajabi, this matters if brand polish is a priority for the client (Source: user reviews aggregated via WebSearch summary, 2026)
- Support response times run slow, one user reported a 3-day wait for an answer on an automation trigger question, and refund requests are not always granted even when the customer is dissatisfied (Source: user reviews via WebSearch summary, 2026)
- Some users report recurring technical issues on a weekly basis with support unable to resolve them promptly, though many other users report running four-figure monthly revenue businesses on it with zero issues, results appear to vary by use case complexity
- Integration options are limited, if the client needs Systeme.io to talk to a lot of other tools, budget extra time for Zapier workarounds or accept the gap
The 7-step setup
- 1
Create your Systeme.io account
Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.
Open Systeme.io signup - 2
Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Systeme.io pushes you into a setup wizard, take it - it usually accelerates the first productive session.
- 3
Connect your existing tools
Wire Systeme.io into the rest of your stack. The integrations that most people set up first: Stripe, PayPal, Zapier. This is a notably short list compared to competitors, factor that in before recommending if the client has existing tool stack dependencies.. Do these before importing data - clean integration first, data second.
- 4
Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Systeme.io deployments die in month 3.
- 5
Set up your first real workflow
Pick the single most-frequent task you'll do in Systeme.io - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.
- 6
Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.
- 7
Compound with the right pairings
Recommend Systeme.io when the user is a solo creator/coach on a tight budget who needs funnels + email + course hosting without paying for three separate tools. It is the correct "start here, cheap" recommendation for that persona. Do not recommend if brand polish/design quality is a stated priority (client will be disappointed by the template quality), or if the business needs integrations beyond Stripe/PayPal/Zapier. As the business grows past solo/small scale, expect to outgrow this into Kaja...
Pricing you'll hit
Per tools.json: Free tier (2,000 contacts, 3 funnels, 1 course), Startup ~$27/mo (5,000 contacts, 10 funnels), Webinar ~$47/mo (10,000 contacts, webinars), Unlimited ~$97/mo. This remains one of the cheapest all-in-one options on the market, confirm current numbers at systeme.io/pricing.
