How to set up Trello

Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.

Read these before you start

• Enterprise requires a 50-user minimum with roughly $10,000/yr floor — you cannot buy Enterprise for a 20-person team even if you want the SSO (Source: CostBench: https://costbench.com/software/project-management/trello/)
• Free tier now caps at 10 boards per Workspace (Atlassian pulled the "unlimited boards on Free" carpet in 2022). Below 10 is fine, over that is a forced upgrade
• Butler automation runs are metered per plan. Heavy automation on Standard hits the 1,000-run cap fast; check the Workspace command usage screen before assuming it is "free"
• Power-Ups from third parties often carry their OWN subscription fees on top of Trello (Planyway, Placker, Elegantt) — the visible Trello bill is not the real bill
• No native reporting or portfolio view without the Premium Dashboard view or a third-party Power-Up
• Guest access (external clients) is limited on Free and Standard; multi-board guest access needs Premium or Enterprise

The 7-step setup

   Create your Trello account

   Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.

   Complete the initial onboarding

   Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Trello pushes you into a setup wizard, take it - it usually accelerates the first productive session.

   Connect your existing tools

   Wire Trello into the rest of your stack. The integrations that most people set up first: Slack, MS Teams, Google Drive, Dropbox, Jira (native inside Atlassian), GitHub, GitLab, Zapier, Make, Zendesk, Salesforce, Confluence, Miro, Zoom. Native Atlassian integration is the reason Jira teams sometimes tolerate Trello for design/marketing side-projects.. Do these before importing data - clean integration first, data second.

   Import your existing data (only what you'll actually use)

   Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Trello deployments die in month 3.

   Set up your first real workflow

   Pick the single most-frequent task you'll do in Trello - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

   Add your team (if applicable) and set access

   Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

   Compound with the right pairings

   Recommend Trello when: business_size is 1-15, pain point is "we need to see who is doing what without a meeting," and the workflow is visual/kanban rather than structured project management. Highest fit for trades, medspa, real estate, and solo consultants. Do NOT recommend for teams needing dependencies, resource planning, cross-project rollup, or dev-team sprint tracking.
