Wrike

Versatile work management for agencies and creative teams

What it does

Wrike is a project + work-management platform for teams that outgrew Asana or ClickUp and need more structure without moving to Jira. Custom workflows, request forms that route directly into project intake, resource planning, time tracking, cross-project dashboards, and proofing/approval for creative work. Two things separate it: request forms (client or internal-team asks turn straight into structured project tasks) and cross-project resource views (see every person's load across every active project). Both are why agencies and enterprise ops teams stick with it.

Integrates with

Slack, Salesforce, Google Drive, Microsoft 365, Zapier

Who this fits

  • Marketing and creative agencies with 15+ people running many concurrent client projects
  • Enterprise ops/PMO teams standardizing project intake across departments
  • Professional services firms billing time against structured deliverables
  • Product and engineering orgs that outgrew Asana but don't want Jira's rigidity
  • Client-services teams needing built-in approval workflows for creative deliverables

Who it does NOT fit

  • Solo founders or teams under 5 (over-tooled — ClickUp or Monday's free tier wins here)
  • Development-only teams (Jira/Linear is the correct home)
  • Teams wanting a lightweight, visual-first tool (Trello or Notion beats Wrike for that)
  • Trades, real estate, medspa — the ops model doesn't map to Wrike's structured project view

Pricing

- Free: 2GB storage, task board, spreadsheet view — limited to 5 users - Team: ~$10/user/mo — Gantt, dashboards, integrations - Business: ~$25/user/mo — custom workflows, request forms, time tracking, real project management - Enterprise: quote — SSO, advanced security, audit reports - Pinnacle: quote — advanced analytics, resource management deep-dive Business tier is where Wrike actually earns its price. Team tier is a downgrade against ClickUp's paid tiers.

Real gotchas

  • Free tier caps at 5 users — the wall you hit fast
  • Learning curve is real for non-PMs. Teams switching from Asana notice the density
  • Custom workflows and request forms are Business-tier features. Team tier is missing the differentiators
  • Custom fields count against your plan's allowance
  • Time tracking is Business+
  • Guest access (external clients viewing tasks) is limited on Team

Integrations that matter

Slack, MS Teams, Google Drive, Google Calendar, Outlook, Zoom, Salesforce, HubSpot, Adobe Creative Cloud (proofing), Jira, GitHub, Zapier, Make.

Otto’s take on this tool

Recommend Wrike when: business_size is 15+, industry is agency or consulting or professional services, pain_points include project intake / resource planning / creative approval, and the current_tools list includes an outgrown Asana/ClickUp/Trello. Do NOT recommend for solo, sub-10-person, or dev-heavy teams. If the user has under 5 users and is comparing to free ClickUp, ClickUp wins on ergonomics.

Editor's curated reviews

218 reviews across TrustPilot - avg 3.6/5

Curated by Otto from TrustPilot public reviews (fetched 2026-08-31). Wrike's TrustPilot leans positive (218 reviews at 3.6, 56% 5-star and 24% 4-star) - the 5-stars are heavy on blueprints, custom forms, and long-tenure scale stories; the 1-stars center on the shift from phone/Zoom support to email-only tickets and lost functionality on plan changes. G2 and Capterra were consulted for aggregate context but not directly cited here (source-access limits). Not user-submitted on Ottomately.

  • I'd like to give Wrike 1,000 stars. We've been using Wrike since 2018, and have scaled to over 2500 people across our organization.
  • Wrike's blueprints and custom forms have been a game-changer for our workflows. The blueprint feature streamlines project initiation processes.
  • Wrike is the most intuitive project management tool I've used in 20+ years of marketing communications.
  • Wrike has a lot of features, but in our case, it fell short where it mattered most. A core requirement for us is the ability to generate job numbers.
  • Wrike used to offer phone and Zoom support. Now support is primarily handled via email tickets, which has significantly slowed down resolution times.
  • I work for the marketing department in a larger nonprofit and we have been using Wrike for three years, weeks between customer service replies.
  • After switching to the paid program, I lost most of the functionalities that I intended to use. Customer support was not able to solve this.
