How to set up Zoho Books

Read these before you start
- A documented, apparently unresolved bug affects US cash-basis businesses, sales tax is calculated on invoice date rather than payment date, which is wrong for cash-basis accounting, and the only reported workaround is entering false dates, this is a real correctness issue, not a minor UX gripe, flag it explicitly to any US client using cash-basis accounting (Source: Zoho Books community forum thread, via WebSearch summary 2026)
- Support responsiveness (phone and email) is a consistent weak point across the whole Zoho ecosystem, not unique to Books, set expectations accordingly for anything time-sensitive around tax deadlines
- Native sales-tax integration (TaxJar, Avalara) requires custom-field workarounds rather than out-of-the-box functionality most competitors provide by default

Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Zoho Books pushes you into a setup wizard, take it - it usually accelerates the first productive session.

Connect your existing tools
Wire Zoho Books into the rest of your stack. The integrations that most people set up first: Zoho CRM, Zoho Payroll, Stripe, PayPal, Zapier.. Do these before importing data - clean integration first, data second.

Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Zoho Books deployments die in month 3.

Set up your first real workflow
Pick the single most-frequent task you'll do in Zoho Books - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

Compound with the right pairings
Recommend Zoho Books for budget-conscious small businesses, especially those already using or open to Zoho CRM, wanting connected sales and accounting data at a lower price than QuickBooks or Xero. For US-based clients specifically using cash-basis accounting, disclose the documented tax-date calculation bug before recommending, this is a real correctness risk that could produce inaccurate books if the client doesn't know to watch for it.
