Zoom

Video conferencing platform for meetings, webinars, and calls

What it does

Zoom is video conferencing software for meetings, webinars, and phone calls, the tool that became the default verb for "hop on a video call" during the remote-work shift and never lost that default status despite Google Meet and Microsoft Teams both being bundled free into competing suites. It does one thing extremely reliably: video calls that connect on the first try across every device and network condition, plus screen sharing, recording, breakout rooms, and an add-on phone system. Most businesses use Zoom specifically because clients and prospects already have it and trust the link.

Integrates with

Slack, Salesforce, HubSpot, Google Calendar, Outlook

Who this fits

  • Any business running client calls, sales demos, consultations, or webinars where the other party needs a frictionless, familiar join experience
  • Remote and hybrid teams needing reliable internal meetings
  • Consultants, agencies, and coaches running client sessions or webinars regularly
  • Businesses running paid webinars or large-attendance virtual events (Zoom's webinar product is purpose-built for this)

Who it does NOT fit

  • Teams already fully inside Google Workspace or Microsoft 365 who get Meet or Teams bundled free — paying separately for Zoom on top of an already-paid suite is redundant unless Zoom's specific features (breakout rooms, webinar tools) are genuinely needed
  • Very small teams doing only quick internal check-ins under 40 minutes — the free tier already covers that, no paid plan needed
  • Anyone expecting the Pro tier to raise the participant cap — it doesn't, see the gotcha below

Pricing

- Free: 40-minute cap on meetings with 3+ participants, 100-participant cap - Pro: $16/user/mo — 30-hour meeting length, cloud recording - Business: $22/user/mo — 300-participant cap, admin dashboard, more security controls - Webinar and Zoom Phone are separate paid add-ons on top of the base meeting plan, not included - Enterprise tiers exist above Business with custom pricing for larger participant caps and additional admin controls (Source: tl;dv Zoom pricing 2026 breakdown, https://tldv.io/blog/zoom-pricing/)

Real gotchas

  • Upgrading from Free to Pro removes the 40-minute time limit but does NOT raise the 100-participant cap — many people upgrade expecting a bigger room and get the same 100-person ceiling with a longer allowed duration. The participant cap only increases on Business tier and above (Source: tl;dv Zoom pricing breakdown, https://tldv.io/blog/zoom-pricing/)
  • Webinar hosting and Zoom Phone are sold as separate add-ons, not bundled into the meeting plan — a business assuming "Business tier includes webinars" will be surprised at checkout
  • Affiliate payouts (for referral partners) have a documented 60+ day wait and require direct-deposit setup with application approval, slower than most SaaS affiliate programs
  • Free tier meetings with exactly 2 participants (1-on-1) are NOT subject to the 40-minute cap — only meetings with 3 or more participants hit the time limit, a detail many free users don't realize
  • Recording storage on cloud recording plans has its own separate storage limits that can require an upgrade independent of the meeting-plan tier

Integrations that matter

Slack, Salesforce, HubSpot, Google Calendar, Outlook, most CRMs via native or Zapier connection, GoHighLevel (calendar booking triggers a Zoom link automatically).

Otto’s take on this tool

Recommend Zoom when: the business runs client-facing calls, demos, consultations, or webinars where a familiar, reliable join link matters, and is not already fully inside a bundled Google Workspace/Microsoft 365 meeting tool. Do NOT recommend as an extra cost to a team already using Meet or Teams for free within their existing suite unless Zoom's specific webinar or breakout-room features are a real requirement. Clarify the participant-cap gotcha before recommending a Pro upgrade purely to solve a room-size problem — that requires Business tier, not Pro. Pairs with GoHighLevel or Calendly for auto-generating meeting links on booking.
