CRM & Sales - Setup Guide

How to set up ZoomInfo

Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.

What you're signing up for

Contract negotiation: 3-8 weeks with a rep, longer if procurement is involved. Implementation: 2-4 weeks post-signature (CRM integration, seat provisioning, credit allocation, training). First real pr

Read these before you start

  • **Under-utilized seats**: Enterprise deployments regularly have 40% dead seats where reps stopped logging in. If half your team doesn't use it, half your bill is waste.
  • **Renewal shock**: 10-40% renewal increases are standard. Push back hard 60-90 days before renewal or get locked in.
  • **Data quality decay in specific verticals**: ZoomInfo's coverage is strongest in US B2B tech, financial services, and healthcare. Coverage thins for LATAM, some verticals (agriculture, local services, education).
  • **Auto-renewal trap**: Miss the cancellation window and you are locked another year. Calendar it the day the contract signs.
  • **Data destruction on cancellation**: Some contracts require you to delete exported contacts at end of term. Read the clause.

The 7-step setup

  1. 1

    Create your ZoomInfo account

Sign up at the link below. Card required for the paid tier - most plans include a trial period; check the pricing section on this page first so you know what you're committing to.

    Open ZoomInfo signup
  2. 2

    Complete the initial onboarding

Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If ZoomInfo pushes you into a setup wizard, take it - it usually accelerates the first productive session.

  3. 3

    Connect your existing tools

Wire ZoomInfo into the rest of your stack. The integrations that most people set up first: - **Salesforce** - native, deep. Enrichment, sync, workflows. Table stakes - **HubSpot** - full sync for CRM enrichment and workflow triggers - **Outreach, Salesloft** - direct sequence and cadence integration for SDRs - **Marketo, Pardot** - marketing automation enrichment - **LinkedIn Sales Naviga.... Do these before importing data - clean integration first, data second.

  4. 4

Import your existing data (only what you'll actually use)

Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how ZoomInfo deployments die in month 3.

  5. 5

Set up your first real workflow

Pick the single most-frequent task you'll do in ZoomInfo - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

  6. 6

Add your team (if applicable) and set access

Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

  7. 7

    Compound with the right pairings

    > Example: "For your 15-person B2B SaaS sales team selling to mid-market financial services, ZoomInfo Advanced at ~$25k/yr base + $2k/seat for the AEs lands you around $50k/yr all-in. Intent signals via Bombora let your BDRs prioritize accounts researching your category vs cold outreach. That is worth roughly one closed deal per rep, so with $50k+ ACV you break even at 1 deal against the entire tool cost. Apollo would cost you $10k/yr but you would blow through your target list with bad emails i...

Pricing you'll hit

None of these prices appear on ZoomInfo's website. Every deal goes through a sales rep. Numbers below are aggregated from Vendr data, SEC filings, and verified buyer reports. - **ZoomInfo Lite**: free, 10 credits/month, useful only for demoing the interface - **48-hour trial**: 200 credits, up to 3 members - **Professional**: ~$14,995/yr for 1-3 seats. 5,000 annual bulk credits.
