Calendly

Online scheduling platform for booking meetings

What it does

Calendly is the default scheduling tool — a booking link that shows your calendar's real-time availability so people book time without email back-and-forth. One-on-one, group, collective, and round-robin event types, automatic timezone handling, calendar sync (Google, Outlook, Apple), video-conf auto-generation (Zoom, Meet, Teams), routing forms that qualify leads before they book, workflow reminders (email/SMS), payment collection at booking (Stripe), and analytics on booked/cancelled/no-show rates. It exists because it works out of the box and everyone recognizes the link.

Integrates with

Google Calendar, Outlook, Zoom, Salesforce, HubSpot, Zapier

Who this fits

  • Solo consultants, coaches, and freelancers taking discovery calls
  • Sales teams needing round-robin distribution to reps
  • Recruiters scheduling candidate interviews
  • Customer success teams scheduling onboarding
  • Anyone who currently emails "does Tuesday at 2 work?"
  • Businesses whose customers already recognize a Calendly link (brand familiarity is a real edge)

Who it does NOT fit

  • Verticals with better purpose-built schedulers (real estate — Follow Up Boss; medspa — Boulevard; salon — Fresha; trades — Housecall Pro)
  • Businesses wanting open-source or self-host (Cal.com)
  • Teams needing deep workflow/routing at low cost (Cal.com's paid tier is cheaper for equivalent features)
  • Users who want white-label for client-facing use (Calendly branding is on the free tier)
  • Field workers who need dispatching, not appointment booking

Pricing

- Free: 1 calendar connection, 1 event type, basic booking page, Calendly branding - Standard: ~$12/user/mo, unlimited event types, calendar sync, workflow reminders, integrations - Teams: ~$20/user/mo, round-robin, collective events, admin roles, Salesforce integration - Enterprise: custom quote (~$15K+/yr), SSO, security controls, dedicated CSM, advanced admin - Add-ons: Routing (extra), SMS notifications (extra usage cost)

Real gotchas

  • Free tier is one event type only — most users need Standard
  • Round-robin distribution is Teams tier, not Standard
  • Routing (qualification questions that route to different reps or event types) is a paid add-on on some plans
  • SMS notifications cost extra beyond the plan
  • Salesforce integration is Teams tier
  • White-label removal of Calendly branding is Standard+ but the URL still shows calendly.com — full custom domain is Enterprise
  • No native forms/quiz — routing forms are basic; needs Typeform or Tally for anything advanced
  • Payment collection at booking works with Stripe/PayPal but is on paid plans

Integrations that matter

Google Calendar, Outlook/Microsoft 365, Apple Calendar, Zoom, Google Meet, Microsoft Teams, GoToMeeting, Salesforce, HubSpot, Pipedrive, Close, ActiveCampaign, Mailchimp, Intercom, Slack, Zapier, Make, Stripe (payments), PayPal, Google Analytics, Meta Pixel.

Otto’s take on this tool

Recommend Calendly when: user needs the industry-default scheduler and the brand-recognition of a "calendly.com" link is a plus. Best fit for consultants, sales teams, recruiters, and B2B SaaS. Pairs with a CRM (HubSpot, Salesforce, Close, Pipedrive), a video-conf tool (already integrated), and a marketing tool for the "call booked" event. Do NOT recommend for verticals with better purpose-built schedulers, for cost-sensitive teams that only need round-robin (Cal.com's tier is cheaper), or for teams that want self-host / open-source. Default recommendation when the user has no strong opinion — it works and everyone knows the link. If the user cares about pricing or open-source, present Cal.com as the alternative.

Editor's curated reviews

653 reviews across TrustPilot - avg 4/5

Curated by Otto from TrustPilot public reviews (fetched 2026-08-31). Calendly averages 4.0 across 653 TrustPilot reviews - 54% 5-star praise focuses on scheduling and Zoom notetaker as an assistant replacement, with named-rep support thank-yous throughout; the 30% 1-star cluster reflects billing/plan friction typical of a large freemium base. G2 and Capterra were consulted for aggregate context but not directly cited here (source-access limits). Not user-submitted on Ottomately.

  • Absolute game changer for my business. The scheduling assistant and Zoom notetaker functions are practically replacing an in-office assistant.
  • Very responsive and thorough. Support was helpful and I trust this company.
  • Estelle from Customer Service was understanding, recognised the benefit of proactively providing product feedback.
  • The option of speaking to a human in-chat is refreshing. Especially after 2am est.
  • Great communication. Chassidy help me set up my standard plus monthly. BOOM! Standard Plus monthly ready.
  • Nice UI, advanced setups. Switched from google calendar on calendly. If possible to make api integration on free tariff, I will put a 5 stars.
  • It's great, but the capture feature when scheduling multiple appointments is annoying and time consuming.
