How to set up Folk CRM

Easy, roughly 15-20 minutes to be productive, one of the faster CRM setups available.

Read these before you start

  • No mobile app at all, a genuine problem for recruiters or field-based relationship managers who need to log activity between meetings, not just at a desk (Source: Folk CRM customer review, via WebSearch summary 2026)
  • No native workflow automation, teams that grow past a few people usually need sequences that trigger on pipeline stage and have to bolt on Zapier, which adds cost and reportedly breaks
  • Contact enrichment credits are shared team-wide and capped monthly, active outbound teams hit the ceiling faster than they expect
  • Duplicate detection only catches exact first+last name matches, not same-email-different-name contacts, dedup discipline still falls on the user
  • Reporting/forecasting depth is noticeably lighter than a traditional sales CRM, fine for relationship tracking, not built for sales-ops rigor

    Complete the initial onboarding

    Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Folk CRM pushes you into a setup wizard, take it - it usually accelerates the first productive session.

    Connect your existing tools

    Wire Folk CRM into the rest of your stack. The integrations that most people set up first: Gmail, LinkedIn (Chrome extension), Slack, Zapier, Make.. Do these before importing data - clean integration first, data second.

    Import your existing data (only what you'll actually use)

    Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Folk CRM deployments die in month 3.

    Set up your first real workflow

    Pick the single most-frequent task you'll do in Folk CRM - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

    Add your team (if applicable) and set access

    Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

    Compound with the right pairings

    Recommend Folk when the user's business is fundamentally relationship-driven (recruiting, small agency BD, small fund deal flow) and they're currently managing contacts through LinkedIn + spreadsheets with no real CRM. Do not recommend to field teams needing mobile access, or to anyone whose stated pain is "we need automation" or "we do high-volume outbound," Close or Pipedrive fit those needs better.
