Productivity - Setup Guide
How to set up Jobber
Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.
What you're signing up for
Easy. Most owners are creating their first quote and scheduling their first job within 45 minutes. Getting the whole team trained on the mobile app and getting historical client data imported cleanly
Read these before you start
- The advertised starting price ($49-249 depending on tier) does not reflect what most growing teams actually pay — per-user overage, payment processing, and add-ons routinely push the real monthly bill 25-50% above the sticker price once a team adds staff (Source: MyQuoteIQ, https://myquoteiq.com/jobbers-biggest-problem-exposed/)
- Key automation and online-booking features are locked to the Connect tier and above — the $49 Core plan is closer to "digital paper" than a real automation platform
- Job costing (knowing whether a job actually made money after labor and materials) is Grow-tier only, which is the exact feature owners usually buy Jobber for once they've outgrown Core
- AI Receptionist and Marketing Suite are separate paid add-ons, not included features, despite being prominently marketed
- QuickBooks sync works but users report occasional duplicate or mismatched entries requiring manual reconciliation, especially around tax line items
The 7-step setup
- 1
Create your Jobber account
Sign up at the link below. Card required for the paid tier - most plans include a trial period; check the pricing section on this page first so you know what you're committing to.
Open Jobber signup - 2
Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Jobber pushes you into a setup wizard, take it - it usually accelerates the first productive session.
- 3
Connect your existing tools
Wire Jobber into the rest of your stack. The integrations that most people set up first: QuickBooks Online, Stripe, Square, Mailchimp, Zapier (for anything not native), Google Calendar.. Do these before importing data - clean integration first, data second.
- 4
Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Jobber deployments die in month 3.
- 5
Set up your first real workflow
Pick the single most-frequent task you'll do in Jobber - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.
- 6
Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.
- 7
Compound with the right pairings
Recommend Jobber when: the business is a home service operation (landscaping, cleaning, HVAC, plumbing, electrical, general contracting) with field crews that currently schedules on paper or a shared calendar, and business_size is 1-50. This is a strong default for the trades vertical in the Endgame Automation ICP. Do NOT recommend for office-only service businesses, or for large operations that have already outgrown mid-market field service tools. When quoting price to a client, always model in...
Pricing you'll hit
- Core: $49/mo — scheduling, invoicing, CRM, 1 user included on most current published plans - Connect: $129/mo — adds automations, online booking - Grow: $249/mo — adds job costing, deeper reporting, higher included user count - Extra users beyond a plan's included seat count run roughly $29/user/mo on top of the base price — a team that starts at $249/mo and adds a few field techs can land close...
