CRM & Sales - Setup Guide
How to set up Kixie
Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.
What you're signing up for
Easy. Chrome extension install, CRM connect, first call in 10 minutes. Full team rollout with disposition tracking, coaching, and SMS templates takes 1-2 weeks.
Read these before you start
- Local presence works well but can be flagged by carriers if overused (rotate numbers)
- STIR/SHAKEN and A2P 10DLC compliance for SMS require configuration. Registration required
- Voicemail drops are effective but overuse burns list warmth
- Some CRM integrations are deeper than others. HubSpot and Salesforce are the strongest
- Call recording state-consent rules apply (two-party consent states require disclosure)
- Sales team is engaged but generally professional. Contract terms still worth reviewing
The 7-step setup
- 1
Create your Kixie account
Sign up at the link below. Card required for the paid tier - most plans include a trial period; check the pricing section on this page first so you know what you're committing to.
Open Kixie signup - 2
Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Kixie pushes you into a setup wizard, take it - it usually accelerates the first productive session.
- 3
Connect your existing tools
Wire Kixie into the rest of your stack. The integrations that most people set up first: HubSpot, Salesforce, Pipedrive, Zoho CRM, ActiveCampaign, Close (native), Copper, Insightly, Zapier, Slack, Google Workspace, Microsoft 365, native REST API, webhooks.. Do these before importing data - clean integration first, data second.
- 4
Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Kixie deployments die in month 3.
- 5
Set up your first real workflow
Pick the single most-frequent task you'll do in Kixie - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.
- 6
Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.
- 7
Compound with the right pairings
Recommend Kixie when: user is a B2B or B2C outbound sales team doing 50+ dials/day/rep; pain_point is "our CRM's dialer sucks" or "we need local presence to lift answer rates" or "we want SMS + dialer in one tool"; and the team is already on a supported CRM. Pairs with HubSpot or Salesforce, an SMS 10DLC-registered brand, and a list-building/enrichment tool (Apollo, ZoomInfo, Lusha). Do NOT recommend for consultative low-volume sales, support call centers, enterprise predictive dialing (Readymod...
Pricing you'll hit
- Integrated: ~$35/user/mo, CRM integration, click-to-call, local presence, SMS - Professional: ~$65/user/mo, adds PowerList (power dialing), IVR, call coaching - Outbound PowerDialer: ~$95/user/mo, multi-line dialing, more advanced features - Enterprise: quote, custom features, dedicated success Minutes and SMS may be metered on some plans. Local-presence phone number pool typically included but...
