Pilot

AI-powered bookkeeping and CFO services for startups

What it does

Pilot is a bookkeeping and finance service aimed at venture-backed startups and growing SMBs. Unlike Bench, Pilot's books live in QuickBooks Online - the customer gets a real QuickBooks file, and Pilot's team of accountants closes it monthly. Add-on services: tax filing (Pilot Tax), CFO services (Pilot CFO), and R&D tax credit filing. Positioned as "the finance team for startups" and is a common line item in YC-backed cap-table stacks.

Who this fits

  • Venture-backed startups and pre-seed to Series B companies
  • B2B SaaS founders who need investor-grade financials monthly
  • Ecommerce brands scaling past $500K in revenue
  • Consulting, agencies, and professional services with clean recurring revenue
  • Founders who want to own their QuickBooks file, not a proprietary ledger

Who it does NOT fit

  • Bootstrapped solo operators under $200K/yr who cannot justify $500+/mo (use Xero, QuickBooks + a local bookkeeper, or Bench)
  • Trades and construction with heavy job costing (need vertical vendors or a specialist firm)
  • Cash-only local businesses with simple books
  • Businesses that hate QuickBooks and want a modern proprietary UI (they may prefer Bench or a modern alternative)
  • Multi-entity international corporations with transfer-pricing needs (need a real firm)

Pricing

- Core Bookkeeping: starts at ~$499/mo, scales with monthly expenses (larger companies pay $1,500-5,000+/mo) - Pilot Tax: separate annual fee, typically $2,000-$3,000+ for straightforward returns - Pilot CFO: custom, typically $2,000-$6,000+/mo for fractional CFO services - R&D Tax Credit: often contingency-based on credit captured - Pilot's real starting cost for a live business is higher than the advertised base once expense volume is in - users on Reddit r/startups and comparison threads on Hacker News regularly report the $499 quote landing at $700-$1,200 once monthly expenses are counted. Model the actual bracket before quoting.

Real gotchas

  • Pricing scales with monthly expense volume - a startup that hits $500K MRR pays materially more than the base tier
  • Books are in QuickBooks Online, which is a plus for portability but means the customer pays for the QBO subscription on top
  • Pilot's accrual and revenue recognition work is stronger than Bench's, but complex rev-rec (multi-year contracts, SaaS ratable revenue) still needs a review with the customer's tax accountant
  • Onboarding and communication cadence has drawn mixed reviews on r/startups - the account manager relationship matters
  • Pilot Tax and CFO are separate contracts - do not assume tax is included
  • Pilot has raised significant venture funding, so pricing pressure may shift as the market resets

Integrations that matter

Otto’s take on this tool

Recommend Pilot when: user is a venture-backed or scaling startup, business_size is 5-100, wants investor-grade monthly financials in QuickBooks, and can afford $500+/mo. Highest fit for B2B SaaS and funded consumer / ecommerce. Pairs with QuickBooks Online, Gusto or Justworks, and Brex or Ramp. Do NOT recommend for solo operators under $200K/yr (too expensive), for trades or construction (need vertical firm), or for owners who reject QuickBooks. Set expectations that the $499 base scales with expense volume - the real bill is usually higher.

Editor's curated reviews

19 reviews across TrustPilot - avg 3.3/5

Curated by Otto from TrustPilot public reviews (fetched 2026-08-31). Pilot's TrustPilot sample is thin (19 total reviews at 3.3 headline) and heavily bimodal - 69% 5-star (onboarding + finance-cleanup wins) vs 26% 1-star (Plaid sync failures, delayed communication, incomplete deliverables at $2,400+ price points). Read both clusters before signing an annual contract at this price. G2 and Capterra were consulted for aggregate context but not directly cited here. Not user-submitted on Ottomately.

  • Top Notch people who made our experience pleasant. Response time was quick and it felt like working with a true team.
  • Seamless integration that handles my books behind the scenes until they're ready for me.
  • Finally understand our finances. They spent a lot of time with us on the front end to clean up our books and explain it all.
  • The onboarding process was seamless and straight forward. The Pilot team assigned to onboarding my law firm for bookkeeping was transparent.
  • Much of Pilot's Plaid-based infrastructure simply doesn't work. The promised seamless connections repeatedly failed, which meant constant sync errors.
  • Pilot is a fantastic way to spend nearly $2,400 and not actually receive anything they promised!
  • Communication is awful. Weeks go by without return communication. They admit to not seeing multiple email inquiries.
  • Pilot was our book keeper for 2022-2023, although they never completed the services and we were required to get a second bookkeeper to finish.
