What it does

Xero is cloud accounting software. It handles the same jobs as QuickBooks Online: bank feeds, reconciliation, invoicing, bills to pay, expense tracking, sales tax, and reporting. The differences are in the details. Xero has an unlimited-users-on-every-plan policy that QuickBooks does not. Its bank reconciliation is faster and cleaner. And it dominates outside the US, especially in the UK, Australia, and New Zealand, which matters if your bookkeeper is international or your business trades cross-border.

Pricing

US pricing, monthly billing: - **Early**: $25/mo. Send up to 20 invoices, enter up to 5 bills, bank reconciliation, sales tax, Hubdoc for receipt capture. Fine for a freelancer or a very small services business. - **Growing**: $55/mo. Unlimited invoices and bills. This is where nearly every real business lands. Anyone hitting more than 20 invoices per month should not bother with Early. - **Established**: $90/mo. Adds multicurrency, project tracking, expense claims, in-depth analytics. Required the moment a client bills in a second currency or wants project-level P&L. - **Payroll add-on** (US): starts around $40/mo + $5-6/employee. Fine for very simple US payroll, but most Xero customers pair with Gusto instead. Real gotchas

  • **Growing US inventory business**: Xero's inventory ceiling gets hit fast in ecommerce or wholesale. Bolt on Cin7 or migrate to NetSuite when SKU count crosses ~500 or you need warehouse zones.
  • **Heavy US payroll on the Xero add-on**: Xero Payroll US is limited to basic scenarios. Multi-state, tipped employees, or complex benefits belong in Gusto.
  • **Multi-entity consolidation**: Xero does not consolidate multiple companies into one P&L natively. Fathom or Spotlight bolts it on, but if you have 3+ entities and need real-time roll-ups, plan the graduation to Sage Intacct.
  • **Restaurant with daily POS sales in the US**: Xero handles it, but the ecosystem is thinner than QuickBooks for Toast, Square, Clover integrations. Not a dealbreaker, just more setup work.

  • John was friendly and welcoming. Feeling quite nervous about taking on a new accounting system after many years of using Sage, he made the whole process easy to understand.
  • Ali was very knowledgeable, has great customer skills. I was a bit sceptical about the 'Free 30 minute session' expecting little value and a sales push.
  • Ben was clear, friendly and very knowledgeable - feel I got loads out of our session. We managed to link my bank accounts, go through a lot of the initial set up.
  • Fran was amazing on my onboarding call. Helped get everything quickly up and running and was so patient whilst I had to search for information needed.
  • Xero is becoming more and more frustrating to use. It feels like Xero is becoming more interested in what works for Xero than what actually works for its customers.
  • Customer support is non-existent. They don't provide telephone number to call, to get support, you need to log in. If you have problems logging in, there is no way to contact them.
  • Ever since they've introduced AI rubbish into their product it has gone down hill. Being forced to go around in circles with a rubbish chat bot.
  • Xero is NOT a small business accounting platform. When I had an actual problem, the tech support totally failed to respond.
