Read these before you start

  • **Square holds funds and freezes accounts with limited warning, and reviewers repeatedly document holds of 90-180 days on legitimate small-business revenue**, with news outlets reporting merchants waiting nearly a year for funds after account deactivation, more than 15 customer-service contacts without resolution, and the CFPB accepting complaints on the pattern (WATE News "Square payment delay frustrates small business owner," Square Community forum threads, Card Payment Options "How To Avoid Funding Holds With Square," Sleft Payments "Square Account Frozen 2026," 2025-2026). Diversify processors early if the business does more than $10k/month - one hold shuts down operations.
  • Effective per-transaction cost is higher than raw rate once you add instant-transfer fees and monthly Plus subscriptions.
  • Chargebacks are handled by Square with limited seller-side recourse - not Stripe-caliber dispute tooling.
  • Vertical Plus subscriptions ("Retail Plus," "Restaurants Plus") are separate from the base rate and add up.
  • Hardware ecosystem is proprietary - switching to another POS means new hardware.

    Create your Square account

    Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.

    Complete the initial onboarding

    Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Square pushes you into a setup wizard, take it - it usually accelerates the first productive session.

    Connect your existing tools

    Wire Square into the rest of your stack. The integrations that most people set up first: QuickBooks Online, Xero, Wave, Shopify, WooCommerce, Wix, DoorDash, Uber Eats, Grubhub, Mailchimp, Constant Contact, Zapier, native APIs for developers. Payroll and Banking are Square-native. Ecommerce integrations are decent but not the strength - if you sell online at scale, use a proper e-commerc.... Do these before importing data - clean integration first, data second.

    Import your existing data (only what you'll actually use)

    Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Square deployments die in month 3.

    Set up your first real workflow

    Pick the single most-frequent task you'll do in Square - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

    Add your team (if applicable) and set access

    Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

    Compound with the right pairings

    Recommend Square when: business_type is retail/restaurant/salon/spa/services/food-truck/appointment-based, the business takes in-person payments, revenue is under ~$500k/month, and the team wants same-day setup with minimal software. Do NOT recommend for SaaS, online-only ecommerce at scale, B2B invoicing, or enterprise merchants.
