Square

Payments for in-person retail and food

What it does

Square is payments plus free POS software plus cheap hardware for businesses that accept payments in person. The core value: an iPad app or the free Square Reader plugged into a phone turns any surface into a checkout in 15 minutes with same-day funds and integrated payments. Around that core, Square ships a stack of vertical apps: Square for Retail (inventory, purchase orders), Square for Restaurants (KDS, table management), Square Appointments (booking + payments for beauty and services), Square Payroll, Square Banking (checking + debit cards for merchants). Sits opposite Stripe: Stripe wins online payments and developer tooling, Square wins in-person and vertical retail/services.

Integrates with

QuickBooks, Xero, WooCommerce

Who this fits

  • Retail stores, restaurants, cafes, coffee shops (in-person payments)
  • Beauty salons, spas, barbershops (Square Appointments)
  • Food trucks, market vendors, pop-ups (cheap hardware, mobile POS)
  • Small service businesses that take payment on-site (contractors, mobile detailing)
  • Fitness studios and small gyms (booking + payments)

Who it does NOT fit

  • SaaS companies (Stripe wins for subscriptions and developer experience)
  • E-commerce-only stores at scale (Shopify Payments + Stripe is a better stack)
  • B2B invoicing at high volume (QuickBooks Online or Xero + Stripe are stronger)
  • Enterprise merchants processing $500k+/month (custom acquirer pricing beats Square's rate card)

Pricing

- Free POS software forever - In-person card: 2.6% + $0.10 per tap/dip/swipe - Online: 2.9% + $0.30 per transaction - Manually keyed: 3.5% + $0.15 - Invoices: 3.3% + $0.30 - Square Reader hardware: free first reader, then $49-$1,500+ depending on kit - Software upsells (Retail Plus, Restaurants Plus, Appointments Plus, Payroll) run $29-$165/month per feature - Instant transfers: 1.75% fee vs free next-business-day

Real gotchas

  • **Square holds funds and freezes accounts with limited warning, and reviewers repeatedly document holds of 90-180 days on legitimate small-business revenue**, with news outlets reporting merchants waiting nearly a year for funds after account deactivation, more than 15 customer-service contacts without resolution, and the CFPB accepting complaints on the pattern (WATE News "Square payment delay frustrates small business owner," Square Community forum threads, Card Payment Options "How To Avoid Funding Holds With Square," Sleft Payments "Square Account Frozen 2026," 2025-2026). Diversify processors early if the business does more than $10k/month - one hold shuts down operations.
  • Effective per-transaction cost is higher than raw rate once you add instant-transfer fees and monthly Plus subscriptions.
  • Chargebacks are handled by Square with limited seller-side recourse - not Stripe-caliber dispute tooling.
  • Vertical Plus subscriptions ("Retail Plus," "Restaurants Plus") are separate from the base rate and add up.
  • Hardware ecosystem is proprietary - switching to another POS means new hardware.

Integrations that matter

QuickBooks Online, Xero, Wave, Shopify, WooCommerce, Wix, DoorDash, Uber Eats, Grubhub, Mailchimp, Constant Contact, Zapier, native APIs for developers. Payroll and Banking are Square-native. Ecommerce integrations are decent but not the strength - if you sell online at scale, use a proper e-commerce platform and route payments through it.

Otto’s take on this tool

Recommend Square when: business_type is retail/restaurant/salon/spa/services/food-truck/appointment-based, the business takes in-person payments, revenue is under ~$500k/month, and the team wants same-day setup with minimal software. Do NOT recommend for SaaS, online-only ecommerce at scale, B2B invoicing, or enterprise merchants. Always flag the account-freeze/hold history - recommend a second processor as backup (Stripe for online, or a merchant account through the business's bank) so a Square hold does not zero the business.
