Todoist is a personal task manager that scales to small teams. Natural-language input ("Follow up with Sean Friday 3pm p1 @sales") parses due date, priority, and label in one line. Projects, sections, labels, filters, and recurring tasks. Cross-platform sync is fast and reliable (web, iOS, Android, macOS, Windows, Apple Watch, browser extensions). Team tier adds shared projects, comments, and admin controls. It is the most polished single-user task app; team collaboration is functional but not the strong suit.

Real gotchas
- Reminders are a paid feature. Users on Reddit r/todoist regularly hit this wall - they assume free push notifications include time-based reminders and they do not
- No native Gantt, workload, or dependency views. Do not sell it as a project manager
- Karma gamification is either loved or hated; can be disabled in settings but is on by default
- Filters use a custom query syntax that is powerful but poorly discovered - the docs page is worth bookmarking
- Team plan comments are lightweight - not a Slack replacement
- Todoist's API is stable and good, so custom integrations are cheap to build
- Data export exists (JSON and CSV) but recurring rules and reminders do not round-trip cleanly

Recommend Todoist when: the user is 1-10 people, wants a personal task manager first and team collaboration second, and values speed over configurability. Best for solo consultants, agents, and small operators. Pairs with Google Calendar and Slack. Do NOT recommend as a real project manager (Asana, ClickUp, Monday, Wrike), for engineering (Linear or Jira), or for teams that need Gantt. Warn that reminders are Pro-only so users are not surprised when their free-tier task fails to ping them.
