Productivity - Setup Guide

How to set up Todoist

Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.

What you're signing up for

Trivial. First project in under a minute. Power users invest an hour learning filters (SQL-like syntax) and the natural-language parser. The failure mode is not complexity, it is neglect - lists rot w

Read these before you start

  • Reminders are a paid feature. Users on Reddit r/todoist regularly hit this wall - they assume free push notifications include time-based reminders and they do not
  • No native Gantt, workload, or dependency views. Do not sell it as a project manager
  • Karma gamification is either loved or hated; can be disabled in settings but is on by default
  • Filters use a custom query syntax that is powerful but poorly discovered - the docs page is worth bookmarking
  • Team plan comments are lightweight - not a Slack replacement
  • Todoist's API is stable and good, so custom integrations are cheap to build

The 7-step setup

  1. 1

    Create your Todoist account

Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.

    Open Todoist signup
  2. 2

    Complete the initial onboarding

Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Todoist pushes you into a setup wizard, take it - it usually accelerates the first productive session.

  3. 3

    Connect your existing tools

Wire Todoist into the rest of your stack. The integrations that most people set up first: Google Calendar, Outlook Calendar, Slack, Zapier, Make, IFTTT, Gmail (add task from email), Outlook add-in, Alexa, Google Assistant, GitHub, Zendesk, Toggl, Fantastical.. Do these before importing data - clean integration first, data second.

  4. 4

Import your existing data (only what you'll actually use)

Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Todoist deployments die in month 3.

  5. 5

Set up your first real workflow

Pick the single most-frequent task you'll do in Todoist - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

  6. 6

Add your team (if applicable) and set access

Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

  7. 7

    Compound with the right pairings

Recommend Todoist when: the user is 1-10 people, wants a personal task manager first and team collaboration second, and values speed over configurability. Best for solo consultants, agents, and small operators. Pairs with Google Calendar and Slack. Do NOT recommend as a real project manager (Asana, ClickUp, Monday, Wrike), for engineering (Linear or Jira), or for teams that need Gantt. Warn that reminders are Pro-only so users are not surprised when their free-tier task fails to ping them.

Pricing you'll hit

- Free: 5 personal projects, 5 collaborators per project, 3 filter views, basic reminders - Pro: ~$4-5/user/mo (annual), 300 projects, reminders, calendar sync, AI Assist, uploads - Business: ~$6-8/user/mo (annual), team workspace, admin, shared team inbox, priority support - Todoist's free tier reminder feature was removed and later restored under Pro - verify what tier ships reminders today befo...
