Accounting - Setup Guide
How to set up Wise
Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.
What you're signing up for
Easy for personal account (a day including verification). Medium for business account with multiple directors and enhanced due diligence (a week including document collection). The verification round-
Read these before you start
- **Wise's receiving limits vary by which US routing number you get, and business accounts on the 026 routing have a 60-day rolling cap of $400,000 USD, while 084 routing has no limits** (Wise US blog on business account limits, 2026). Larger businesses hit the 026 cap sooner than expected. Additionally, Wise has closed business accounts mid-review while holding balances under compliance review with no committed timeframe - BBB complaints document this pattern (Wise US Inc. BBB complaints file, 2026). Do not treat Wise as your only operating account.
- Wise is a money-service business in most jurisdictions, not a bank - deposits are NOT FDIC-insured the same way US bank deposits are (Wise holds funds in safeguarded accounts, which is different from FDIC coverage).
- Compliance reviews can freeze incoming payments while support "reviews" - support escalation is slow per multiple reviews.
- Wise does not offer merchant services - you cannot accept card payments through Wise, only bank transfers.
- Currency-conversion timing matters - converting during volatile hours can shift the rate.
The 7-step setup
- 1
Create your Wise account
Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.
Open Wise signup - 2
Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Wise pushes you into a setup wizard, take it - it usually accelerates the first productive session.
- 3
Connect your existing tools
Wire Wise into the rest of your stack. The integrations that most people set up first: QuickBooks Online, Xero, FreshBooks, Wave, Zapier, native REST API for programmatic transfers, Payoneer alternative for marketplace payouts (Amazon, Etsy, Shopify). Batch payment uploads via CSV for paying many contractors at once.. Do these before importing data - clean integration first, data second.
- 4
Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Wise deployments die in month 3.
- 5
Set up your first real workflow
Pick the single most-frequent task you'll do in Wise - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.
- 6
Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.
- 7
Compound with the right pairings
Recommend Wise when: business_type is freelancer/agency/consulting/SaaS/ecommerce, use case is international invoicing or paying overseas contractors, and the buyer is being killed by bank FX and wire fees. Do NOT recommend as a business's only operating account (compliance reviews and account closures do happen), as a merchant services replacement (Wise is not a card processor), or for domestic-only businesses (a US business bank is simpler). Always flag the FDIC-vs-safeguarded distinction and ...
Pricing you'll hit
- Business account setup: ~$31 one-time fee (varies by region) - No monthly fee, no minimum balance - International transfers: real mid-market exchange rate + variable transparent fee (typically 0.4-1% depending on corridor) - Receiving USD, GBP, EUR, AUD, CAD, and others: free for domestic-format inbound (ACH, SEPA, etc.) - Debit card: free issuance, no FX markup, small ATM withdrawal fees above ...
