How to set up Xero

What you're signing up for
From signup to first useful day: 3-5 hours for a new business (connect banks, categorize chart of accounts, import opening balances). Migrating from QuickBooks: 8-20 hours for a clean cutover, or a Xe
Read these before you start
- **Growing US inventory business**: Xero's inventory ceiling gets hit fast in ecommerce or wholesale. Bolt on Cin7 or migrate to NetSuite when SKU count crosses ~500 or you need warehouse zones.
- **Heavy US payroll on the Xero add-on**: Xero Payroll US is limited to basic scenarios. Multi-state, tipped employees, or complex benefits belong in Gusto.
- **Multi-entity consolidation**: Xero does not consolidate multiple companies into one P&L natively. Fathom or Spotlight bolts it on, but if you have 3+ entities and need real-time roll-ups, plan the graduation to Sage Intacct.
- **Restaurant with daily POS sales in the US**: Xero handles it, but the ecosystem is thinner than QuickBooks for Toast, Square, Clover integrations. Not a dealbreaker, just more setup work.

Create your Xero account
Sign up at the link below. Card required for the paid tier - most plans include a trial period; check the pricing section on this page first so you know what you're committing to.

Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Xero pushes you into a setup wizard, take it - it usually accelerates the first productive session.

Connect your existing tools
Wire Xero into the rest of your stack. The integrations that most people set up first: - **Stripe** - native, cleaner than QuickBooks' Stripe sync. Payouts reconcile against fees automatically - **Shopify** - via A2X or Stripe. A2X is the standard for ecommerce sellers who want per-order or per-payout accuracy - **Gusto** - two-way sync. Payroll journals push into Xero automatically -.... Do these before importing data - clean integration first, data second.

Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Xero deployments die in month 3.

Set up your first real workflow
Pick the single most-frequent task you'll do in Xero - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

Compound with the right pairings

US pricing, monthly billing: - **Early**: $25/mo. Send up to 20 invoices, enter up to 5 bills, bank reconciliation, sales tax, Hubdoc for receipt capture.
